Page Personnel are recruiting for a Part Time Administrator/PA. This will be working 3 - 4 days a week and the salary will be pro rata for the hours worked.Client DetailsThe business is currently growing and they are looking to recruit a new Administrator/ PA Support on a part time basis of 3 to 4 days per week. The business provide expert legal advice for personal, family and business matters across multiple cities in Yorkshire.DescriptionThe responsibilities of the role are as follows; Inbox management; managing multiple consultant emails and prioritising tasks accordingly. Dealing with client emails and requests for HR, Health and Safety and Food Safety advice/information or documents tobe sent out or to be referred to one of the consultants. Diary management; arranging internal and external client appointments and keeping the diary up to date. Travel management; organising travel arrangements and accommodation. Preparing client reports including,Health and Safety site visits, Risk Assessments etc and formatting these documents as well as checking for any errors and amending these accordingly. Producing and/or updating client Health and Safety and Food Safety policies, Risk Assessment manuals, EmploymentGuidance manuals and Employee Handbooks and monitoring these changes. Producing the stationery packs and/or Food Safety management system and forms to be included. Monitoring and keeping track of outstanding workloads for all consultants and chasing tasksup. Setting up new/existing clients on the company website members area and the bulletin list. Managing consultant daily activity sheets, the customer service record (CSR) and totals record spreadsheets on a daily/weekly basis. Receiving incoming calls, transferringcalls through to the consultants and/or taking messages. Meeting and greeting clients, couriers and taking deliveries on reception etc. Arranging couriers and/or post to send out hard copies of client documents etc. Online training administration - settingup new business users and trouble-shooting problems i.e. IOSH Managing Safely, Fire Marshal, Manual Handling and Employment Law training courses etc for the consultants. Organising catering and preparing lunches and refreshments for delegates/consultant/trainerif in-house. Organising maintenance/workmen for servicing such as fire extinguisher checks, PAT testing etc. Liaison with office staff regarding building management companys workmen. Organising and ordering of client and office stationery. Other general secretarialand office administrative tasks (e.g. typing, photo copying, scanning, filing, archiving etc.).Profile
