OUR CLIENTOur client is a provider of bespoke and solution driven mobile resource management software for multiple sectors. Their systems transform the way in which their customers work by streamlining processes which increases productivity and as a result reducescosts. The business has established a fantastic working culture and due to their continued growth throughout 2020/2021 and as a result of an internal promotion, our client can now offer an exciting opportunity for an Executive Front of House Supervisor tojoin their team.THE OPPORTUNITY & CANDIDATE BRIEFWe are searching for a highly presentable and professional individual with exceptional customer service skills to join the business as an Office Front of House Supervisor. The successful candidate will be responsible for overseeing all onsite customer visits,facilities management and will also assist the Health and Safety Manager with any H&S related matters.As this is a standalone role, it is important that whoever is appointed into this position is highly organised and very hands on, whilst able to operate with minimal input from senior management. You must be capable of organising large volumes of work foryourself and others and will have high standards of communication enabling you to make things happen effortlessly whilst ensuring that any internal operational changes across the business are being communicated and followed by colleagues/stakeholders.Your key responsibilities will include:
  • Managing the office, parking facilities and meeting room booking system to ensure a smooth and coherent customer and employee experience across the business.
  • Welcoming guests and contractors and ensuring they are aware of all on-site safety requirements.
  • Ensuring the reception area, meeting rooms and public spaces are presentable at all times.
  • Purchasing and presenting catering orders, managing incoming deliveries as well as stock levels of office supplies.
  • Managing building facilities, liaising with the landlord and contractors and scheduling works as required, whilst ensuring compliance.
  • Ensuring thatall contractors carrying out work on site have been approved through the contractor approval process and up to date documentation is maintained with the assistance of the Health and Safety Manager.
  • Completing a monthly Health and Safety office inspection and carrying out any required actions.
  • Assisting with the planning of internal social events and company-wide communications.
SKILLS AND REQUIREMENTS
  • Previous Front of House/Facilities Management experience (2+ years) is essential.
  • Presentable and professional with a calm, creative, and can-do attitude.
  • Educated to Degree or A Level (preferable).
  • A strong team player, with an ability to work independently.
  • Strong organisational skills, able to manage your workload and multitask effectively.
  • Exceptional communication skills, both verbal and written, with the ability to deal with stakeholders at all levels.
  • Confident administration skills, with an ability to take on ad hoc work as and when required.
  • Excellent time management and attention to detail, with an ability to maintain high standards in a busy and dynamic environment.
  • IT Literate (proficient in Microsoft Office).
