Job Description

Location: LeatherheadSalary: £20k to £23kHours: Full timehowever, are open to part time hours if it still means the person is here five days a weekie 9-3 to fit school times.OFFICE BASEDJob purpose:This role is a split role with an anticipated 50:50 split on time. On the Office Co-Ordinator side, the aim is to re-route incoming general enquiries, keep the office stocked and operating in terms of basic stationery, keeping the fridges full and managingoffice based outsourced facility providers. On the Finance Co-Ordinator side, this role will be responsible for supporting the finance team with record keeping, managing general enquiries, helping out with managing the Purchase & Sales ledgers and owning theexpense management. This is a new position so you will have the opportunity to have some influence over shaping this role. It is important to note this role will be office based at our office in Leatherhead.Key responsibilities and accountabilities:Office Co-Ordinator

  • Manage post, parcel deliveries, and visitors to the office
  • Answer the office phone and reroute calls as needed
  • Office food shop typically tea, coffee, sugar, snacks, milk, bread and restocking jars as needed
  • When clients are visiting, arranging lunch with external caterers
  • Refilling/stocking soap, dishwasher tablets and other basic cleaning products for staff to use
  • Restocking printers with paper
  • Organising shredding collection
  • Notifying cleaners if issues arise
  • Keeping kitchen cupboards/fridges/sideboards adequately stocked
  • Tidying of general office space, especially pre client visits
  • In a role like this, there will be many ad hoc jobs needed in this support function, some will be core office management, some will be more of an IT support (no technical requirement) and sometimes it will be to support preparation for large events beforethey go onsite.
Finance Co-Ordinator
  • Check staff personal expenses for compliance and process in Sage Accounting, ready for payment
  • Assist the Finance team with record keeping such as entering and filing the purchase invoices
  • Setting up Project Job numbers in our Excel database, our time recording system and in Sage Accounting
  • Enter invoices raised by the Project Finance team into Sage Accounting
  • Other Ad-Hoc requests to help support the finance team
Resource Management
  • Input of timesheet activity on a weekly basis
General
  • Work collaboratively with Board, Peers and all teams to ensure effective delivery of all client projects.
  • Attend company training days as and when required.
  • Attend company meetings as and when required.
  • Undertake any additional task as required to support the business.
  • A willingness to be flexible, a keenness to learn and manage requests from a few key stakeholders is more important than experience, though obviously a little bit of bookkeeping and office admin or similar wouldnt go amiss.
