Job Description

Our client is an award-winning, highly respected and successful contract catering business who have been running their dynamic team and sought-after service for over 20 years now. Due to an internal job share arrangement, the business is now looking to recruita Part Time Office Administrator to work 3 days per week (3 full days - 24 hours per week). The purpose of the role is to coordinate the office operations and procedures in order to ensure organisational effectiveness, efficiency and safety. This is a variedadministration role which will suit a proactive and highly organised individual who is able to work confidently independently.Key Responsibilities:

  • Managing the reception area, including welcoming customers and guests
  • Responding to customer enquiries
  • Managing company correspondence, including phone calls, emails, letters and post
  • Handling Head Office Petty Cash
  • Managing the ordering and inventory of office supplies
  • Responsible for all telecoms related issues (Cloud Voice/BT Portal/Mobile Phones)
  • Maintain the condition of the office and arrange for necessary repairs with the landlord and/or external contractors to include arranging regular testing for electrical equipment and safety devices
  • Developing, implementing and maintaining administrative systems
  • Managing filing systems
  • Responsible for the purchase order system
  • Utility readings
  • Reviewing and updating health and safety policies
  • Risk assessments and co-ordinating Best Companies Surveys, ISO & CHAS audits
  • Ensuring online training completion and monitoring the training matrix
  • Maintain Company Policies as necessary
  • Organise and schedule meetings
  • Ensuring adequate staff levels to cover for absences and peaks in workload
  • Placing Company job adverts and coordinating applicant responses
Key Skills and Experience:
  • Previous office administration or office management experience is essential
  • Knowledge of office systems and procedures
  • Excellent time management skills and ability to prioritise work
  • Attention to detail and problem solving skills
  • Excellent communication skills
