Job Description

Role- PA to Head Teacher / Executive Team AdministratorLocation- Kingston upon ThamesDuration- PermanentHours- Monday-Friday 40 HoursSalary- £27,682 - £31,568Key Duties

  • Act as the main point of contact for the Head Teacher, taking calls and messages when they are unavailable.
  • Deal with parent / carer and other external stakeholder queries and decide how to screen telephone calls, enquiries and requests and delegate as appropriate.
  • Maintain the Head Teachers calendar and arrange appointments as appropriate, including co-ordinating meetings with a large number of participants.
  • Liaise with the Head on a daily basis regarding events of the day and follow up resultant actions.
  • To work with other members of the operations team in the management of the recruitment process including the writing of copy for adverts, the placing of adverts, communications with stakeholders within the school and candidates, scheduling and managementof the assessment day.
  • Keep the Head informed at all times about the calendar commitments and deadlines for the completion of work.
  • Provide confidential clerical and administrative support to the Head Teacher.
  • Draft correspondence to the Head Teachers specification and consistently produce a high standard of written work, including presentations and reports.
  • Act as quality control in respect of letters and documents produced by the Head, proof-reading and getting involved with the document production of all the Heads correspondence.
  • Manage correspondence to the Head and maintain on-line filing system.
  • To have oversight of all administrative aspects of confidential records.
  • To provide administrative support for the Deputy Heads and produce documents for them as required.
  • Be involved in the management of the schools website.
  • To have oversight of the Head Teachers email inbox and to organize and prioritise the email correspondence ensuring that all important messages are dealt with in a timely manner.
  • Filter email and paper correspondence to the Head, ensuring that the Head receives all necessary correspondence.
  • Manage the enquiries email for The Kingston Academy, where possible responding directly to enquiries, but also directing mail to other relevant parties within the school.
  • To act as line manager to one or members of the operations team, including carrying out the annual appraisal process.
  • Welcome visitors to the Head Teacher in a professional manner.
  • Arrange refreshments for meetings as necessary.
  • Liaise with the Clerk to the Trust Board regarding Trust business including arrangements for meetings and refreshments
  • Work with designated member of SLT to plan and co-ordinate whole school events (e,g, Prospective Parent Evenings, school concerts), managing complex range of tasks through time and action planning.
  • Develop effective links, collaboration and the sharing of best practice with local schools and the wider community.
  • Promote/preserve outstanding community cohesion across the school and beyond.
  • On occasion attend out of school hours events, on rotation with other members of the operations team.
  • Develop positive and collaborative working relationships with, and between staff to provide them with appropriate support and guidance in achieving the schools priorities and targets.
  • Regularly review own practice, set personal objectives and take responsibility for own development.
  • Manage own workload and that of others to allow an appropriate work/home life balance.
  • Consistently enhance knowledge in relation to your role utilising self-directed learning.
  • Assist with the organization of the Borough Transition Day.
  • Liaise with prospective parents as required and organize their visits to the school.
  • To support and promote the values and ethos of The Kingston Academy
  • To undertake such training as may be required
  • To be aware of the responsibilities under GDPR and Data Protection Legislation for the security, accuracy and significance of the personal data held in the schools systems
  • To have due regard for safeguarding and promoting the welfare of children and young people and to follow all associated child protection and safeguarding policies as adopted by the school
  • To work in accordance with the Schools Health and Safety Policies and Procedure
  • Undertake additional administrative duties as part of the Schools Administration Team and assume other duties which may reasonably be required or delegated by the Chief Operating Officer from time to time to meet the needs of the service.
  • Undertake other duties as required in line with overall grading and purpose of the job.
