Job Description

Our client is currently recruiting for the exciting opportunity of Resource Manager, this position will be based in London and will be a Full-Time permanent role.Resource Manager Duties They are excited to be hiring a Resource Manager to sit in their Operations team. This role is critical to the success of the company; it’s the lynchpin between new business, client services, finance, project delivery and talent & culture.The Resource Manager will ensure everyone knows what’s going on, what’s coming next and will escalate any potential risks or blocks to the right person; they will constantly monitor the delivery teams’ requirements, adjusting and shaping the team to meet both current and forecasted future client needs, while meeting commercial targets of high resource utilisation and a cost-effective resource pool.They will be responsible for creative and technical resources across the company working closely with delivery teams to monitor project health, ensure the PA process is being followed, resources are effectively assigned, and issues are spotted quickly and resolved.

  • Be responsible for resource planning and allocation across the delivery teams; production, creative, technology & installations
  • Liaise with client Services, delivery and heads of department to maintain a forecast of resource requirements over the coming months
  • Work with department heads, project leads and other stakeholders to identify resource gaps and proactively manage this to close them
  • Create and develop a database of freelance contacts and actively manage this to ensure freelance resource can be engaged swiftly
  • Inform the finance team of resource plans and project milestones to trigger billing and income recognition
  • Inform the management team of resource capacity and availability
  • Monitor whether work is progressing to schedule, identify potential for overruns, and champion efficient working practices
  • Drive resource costs down by ensuring the mix of permanent, freelancer and outsourced talent is optimised
  • Oversee weekly schedule for departmental resources. Match requests to skillsets for optimal use of resources, being aware of the current skills and career aspirations of team members
  • Produce and maintain internal documentation related to operational practices, processes and policies, including guidance on using Resource Guru
  • Manage the freelancer budget, reporting on predicted and confirmed spend to finance.
    • Resource Manager Requirements
  • Negotiation and conflict management skills - achieve the best possible outcome in every negotiation. Establishes empathy in all negotiations and anticipates, defuses and resolves conflicts between colleagues and clients
  • Experience capturing specific (skill) requirements to anticipate resource requests. Ability to identify and investigate potential challenges to assist Project Managers/Producers in ensuring mitigation solutions are in place in advance
  • Recommends strategies for providing adequate resource during spikes in demand or maintaining productivity during dips in demand
  • Formalises means of tracking anticipated demand and communicating capacity
  • Ability to identify skills gaps within studios/teams and communicate a staffing strategy with heads of departments and talent & culture
  • Firm understanding of principles of budgeting and project finance
  • Up to date knowledge of the freelance market and a network of freelance talent in the region
  • Ability to identify key information, issues and trends from operational reports and experience designing operational reports to provide further insight into business activities where required
  • Ability to work on multiple projects and tasks simultaneously ensuring the highest standards of service and delivery.
  • Problem-solving - uses creativity to unblock issues and problems.
  • Experience in a traffic, project management or HR role within a project-based strategic, creative or technical agency environment
  • Experience of working in a dynamic and fluid environment where clear structure and process may not always be apparent
  • Understanding of project lifecycle and process: able to interrogate requirements, interpret briefs, and recognise potential risks and dependencies
  • Experience using Resource Guru or a similar resourcing system
  • Highly proficient in excel.
