Job Description

Elevation Recruitment Group are currently recruiting for an Administrator to work for our client based in Hull.This is a permanent role to work 9am - 5pm Monday to Friday.The main purpose of the role is to ensure proper flow of office procedures and support the office directors by carrying out common office duties. Maintains a positive and friendly company image by acting as the first line of contact to visitors and clientsin person, online, and via telephone.The main responsibilities will include:-*Customer service/liaison - contacting customers and clients as necessary*Answers phone calls and transfers them as necessary*Manages correspondence by answering emails and sorting mail - forwarding or filing as required *Photocopies and files appropriate documents/photos as needed*Production of site documentation and Health & Safety documentation*Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments. *Check all weekly checklists are completed by relevant parties on time and chase any missing (returns, vehicle checklist)*All subcontractor assessment forms are issued and up to date annually*Monitor expiry dates of inspection and testing of plant & machinery and liaise with Yard Manager*Manages reception area and looks after visitors*Maintains stock lists and orders office supplies as needed*Interacts with directors and carries out their requests*Creates agendas and takes meeting minutes*Maintains accurate records for employee holiday requests*General housekeeping and office cleanliness*HR - production contracts, any assistance required. *Implement GDPR processes*General documentation completion - solicitors, account forms, insurance, PQQ etc*Document control *Update all relevant client portals of relevant information - dates, documents, information - liaise with contracts manager*Keep internal files and systems up to date - Trello Job Management system requires card production, information kept up to date, accurate moving as the job progresses through to completionTo be considered for this role you will have strong attention to detail with the ability to work without supervision using your own initiative.
