Job Description

Administrative AssistantLocation: Huddersfield, West YorkshireSalary: £12 per hour (£8,736 P/A)Hours: (14 hours per week)Permanent Benefits:

  • 25 days of annual leave plus public holidays (pro rata).

Are you an experienced Administrative Assistant seeking to join a dynamic charity organisation in Huddersfield You will be at the heart of our operations, ensuring smooth administrative processes, and delivering exceptional customer service both internallyand externally.We are working with a renowned independent charity, dedicated to supporting local communities and making a lasting impact. Their commitmentto excellence and inclusivity drives their mission to see Kirklees thrive.Key Responsibilities:
  • Serve as the initial contact for email, in-person, and phone inquiries, directing them to the relevant team member.
  • Provide administrative support to the Chief Executive.
  • Brief new staff on health and safety, database management, and other administrative matters.
  • Assist the grants team with new programs and ad hoc activities.
  • Set up and manage Board and Sub-Committee meetings, including preparing and distributing papers and taking minutes.
  • Maintain training logs for Trustees and staff.
  • Manage and update foundation policies and procedures.
  • Keep office filing and digital archiving systems up to date.
  • Maintain contact information for suppliers and manage equipment access codes and passwords.
  • Follow established financial procedures and responsibilities.
  • Process monthly invoice payments after necessary checks.
  • Manage petty cash and credit card reconciliations.
  • Archive finance files following annual audits.
  • Submit accounts and confirmation statements to the Charity Commission and Companies House.
  • Provide monthly staff attendance confirmation for payroll processing.
  • Support the CEO and Finance Director with the annual audit.
  • Coordinate the Annual General Meeting with guidance from the CEO and Senior Grants Officer.
  • Assist with the planning and execution of in-person and online events.
  • Provide logistical support as required by the Marketing Officer or CEO.
  • Attend and take minutes in team meetings.
  • Offer administrative support to the grants team during busy periods, including processing grant applications and monitoring.
Key Requirements:
  • A minimum of 3 years of administrative experience.
  • Proficient in minute-taking.
  • Strong communication skills, both written and verbal.
  • Excellent organisational skills with great attention to detail.
  • Flexibility, initiative, and a strong team player.
  • Effective time management.
  • Competency with office-based IT systems.
  • Strong numeracy and data analysis skills.
  • Advanced user of Excel and other Microsoft Office applications.
  • Willingness to learn new office systems and processes.
