Taskmaster Resources Ltd in Huddersfield, working with the University of Huddersfield since 2014, are looking to appoint an experienced administration assistant, initially for 3 months. Immediate start available.Mon-Fri37 hours per weekBased on Queensgate Campus, Huddersfield, HD1 3DHTo provide a professional and comprehensive administrative support service for senior management staff within the School, including Associate Deans, Directors and Heads of Departments.To provide a fully supportive administrative service using the processes and procedures associated with the Dean’s Suite and to provide administrative assistant with Executive Projects.Main Responsibilities:1. To provide a professional and comprehensive administrative support service to senior management staff within the School, including provision of hospitality for visitors, typing and formatting of documents and presentations, photocopying, document management,and organising and booking travel arrangements.2. To provide a professional, collegiate, and high standard of customer service dealing effectively with all enquiries and information requests. To work flexibly and effectively with colleagues across the wider Dean’s Suite team to ensure that deadlinesare met, and tasks completed.3. To examine material/correspondence and co-ordinate responses; take action on incoming mail as required i.e., prioritise, anticipate action required and prepare routine response.4. To act as committee secretary and provide a full administrative support to designated committees and meetings. This includes the organisation and scheduling of meetings, arranging hospitality, secretarial servicing and minuting of meetings as well asensuring action points are communicated and logged.5. To support and process affiliate accounts for the School, progressing and approving requests as appropriate and in line with University protocols.6. To co-ordinate internal/external business activities and assist with the planning and arranging of events.7. To provide administrative support for a variety of activities including project work, events and meetings.8. To support the Dean’s Suite Manager with designated activities, including:a. Honorary Awards.b. Academic Promotions.c. Visiting Titles.d. Annual Planning Round.9. To assist with ordering internal catering for meetings and events and the associated financial processes for these.10. To maintain office stocks of stationery, ordering in a planned way and according to University procedures.11. To utilise the University computer based information systems and other computer software packages and provide reports as appropriate.12. To work effectively as part of the Dean’s Suite Team in offering a seamless, efficient and effective service to all stakeholders13. To develop and manage filing and office systems, manual and automated.14. To liaise with the Vice-Chancellor’s Office, Planning Team, the Senior Leadership Team and other secretaries/PAs/Administrative Assistants, other University staff and collaborative partners as required.15. To provide an exemplary level of customer care in accordance with set service standards.16. To understand how the University’s policies and regulations work within the remit of the role and to assist with the maintenance of associated procedures.17. To provide support and administration for School events, induction, awards ceremonies, and conferences as required18. To undertake any other duty pertinent to the grade of the post that might be requested.
