Job Description

Workforce Information ManagerThe Workforce Information Manager is a key role to the delivery of the People & Organisational Development (P&OD) systems and workforce information services. The post-holder will provide specialist workforce analysis advice/ support. Responsibilities include:

  • Developing and providing complex and integrated workforce information reports incorporating both qualitative and quantitative analysis
  • Streamlining and maintaining reporting processes to avoid manual manipulation of data and move to greater automation
  • Maintaining and developing the Trust’s Electronic Staff Record (ESR) and other P&OD systems
  • Designing, developing & implementing bespoke P&OD systems/processes, and extending some of the capabilities of in-house systems through the development of interfaces, data extracts, reporting and analysis
  • Supporting the Head of Workforce Information by providing data intelligence advice to inform workforce planning and supporting the development of workforce planning systems
  • Line managing the Workforce Information Team, representing the department at meetings and deputising for the Head of Workforce Information as and when required
  • Taking a leading role in ensuring the Trust has effective and robust establishment control processes in place and that we are reporting appropriately in this area, working closely with colleagues across the organisation as required

  • Location: HillingdonTemporary: Expected to last 3 months with possible extensionHours per week: 37.5 hours per weekSalary: £30to £26 per hour (Umbrella) or £23 to £26 per hour (PAYE)Experience
  • Significant experience of workforce information analysis
  • Understanding of workforce development tools and techniques
  • Working knowledge and experience of ESR
  • Report writing using Oracle/SQL and ability to apply principles to other systems
  • Advanced knowledge of the capture and manipulation of data from computer sources
  • Practical experience at advanced level using and developing a range of databases and spreadsheets
  • Project management experience
  • Supervisory/management experience
  • Able to demonstrate a high level of workforce planning & expertise
  • Advanced data-analysis skills to manipulate complex data and present in a format everyone can understand
  • Highly proficient in MS Excel
  • Demonstrate capabilities to manage workload and make decisions within tight deadlines

  • Key Responsibilities:Communication
  • Communicate complex systems development issues within the People & Development Directorate and the wider Trust.
  • Provides specialist systems development and integration advice to senior members of P&OD management staff to inform service planning and delivery.
  • Provide specialist advice to managers/staff in relation to workforce planning methods, working collaboratively with P&OD colleagues to devise effective solutions to workforce challenges which support national and local initiatives and processes.
  • Develop the quality of workforce information and analysis used within the Trust and provide specialist advice on data collection, management, analysis techniques and presentation
  • Participate in meetings with Trust staff and external body representatives in attendance, often presenting highly complex data.
  • Participate in the Service Request (SR) process for service calls to resolve ESR functionality issues, including participating and escalating to the Special Interest Groups.
  • Undertake presentations as required to both internal and external agencies and across a range of audiences.
  • Use communications skills to negotiate, persuade and gain the co-operation of Consultants, clinical and non-clinical staff in achieving agreed objectives.
  • Workforce Information
  • Manage the provision of workforce reporting to internal and external customers, regularly reviewing requirements and assuring the accuracy of all data/advice.
  • Responsible for the monthly Trust Board workforce information reporting cycle, including identifying key workforce metrics, analysing information, determining trends and highlighting areas of concern for action with the Head of Workforce Information, HR Business Partner teams and other colleagues including writing the supporting narratives
  • Responsible for producing and maintaining detailed Workforce Dashboards’.
  • Work with managers to ensure that workforce development, financial and service plans are underpinned by robust workforce data and information.
  • Responsible for the delivery of all central workforce returns ensuring the highest quality and accuracy of data and delivering on time.
  • Liaise with the Finance Department to ensure the integrity of data held within ESR and lead the development of effective establishment control and vacancy monitoring procedures.
