Job Description

Responsibilities

  • Support the Group Property Director (GPD) and Group Facilities Manager (GFM) to ensure the day to day running of the Facilities Management operations for all the Group businesses are carried out in an efficient manner within an agreed budget.
  • Liaise with facilities teams across the group to ensure full statutory compliance and report accordingly to the GFM.
  • Gather information from all businesses within the Group and prepare several property and facilities reports for presentation by GPD & GFM.
  • Administer and maintain the Mainteno facilities management system. Where necessary raise reactive and planned tasks, allocate works, approve quotes, and approve invoices for payment. Become a super user to help other users across the Group.
  • Monitor emails received within the department and action accordingly. Where necessary seek direction from GPD &/or GFM.
  • Raising PO’s for non-Mainteno FM tasks.
  • Liaise with external contractors regarding but not limited to requesting & chasing quotes, checking RAMS, arranging start dates and discussing issues arising from works on site.
  • Answering & managing facilities queries from staff across the Group.
  • Assisting with projects.
  • Maintaining various spreadsheets and documents ensuring information is up to date.
  • Establish relationships through prompt and courteous service.
  • Assist with the creation of and monitoring of budgets.
  • Electronic filing of documents onto the Microsoft Teams
  • Book and confirm travel arrangements, as necessary.
  • Requirements Essential Skills / Experience:
  • Reliable and punctual
  • Proven experience of working in Facilities Administration.
  • Proven knowledge and use of Microsoft Office applications such as Excel, Word, PowerPoint, etc.
  • Excellent communication and coordination, internally and externally.
  • Team worker, positive and cooperative attitude.<span clas
