Job Description

Location - WeybridgeSalary - £29,000-£34,000Duration - PermanentHours- Monday to Friday 9am to 5pm- parking is availableSummary of a Admin/office CoordinatorWe are looking for an exceptional Admin/Support Officer, with proven experience of administrational support to ensure the smooth running of the daily workflows of the companies stores. It is crucial to ensure that we have correct running and maintenanceof our stores and support for our employees. The successful candidate will ideally have at least 3 years experience of working in a customer facing admin support role.Responsibilities of a Admin/office Coordinator but not limited to:

  • Manage the IT requirements such as purchasing computers/network/printers/ cabling etc
  • Reporting and maintaining the equipment log for equipment in stores, and at HO
  • Making sure all information systems are current and conduct any user training
  • Liaising with external suppliers in setting up of email accounts, email distribution groups and monitoring users passwords
  • Managing the SharePoint folders, information stored and ensuring all users are fully trained on how to use them
  • Become familiar with our software Bravo in order to be able to set up users and act as trainer and trouble shooter
  • Security and CCTV setup and on-going maintenance - working with the external provider and being the main point of contact for all security requirements
  • New store set up - ensuring that the store is fully operational and will meet the launch date, this includes all IT setup including software, CCTV, security, and alarms, Till/PDQ setup
  • Working with external suppliers and the clients build and design team
  • Facilities management includes working with our external building contractors to ensure that the properties are maintained and serviced
  • Administration support to the HR and Banking functions. It is critical that the business pays its customers on-time and supports employee relations to ensure smooth and effective running of the boutiques
  • Bank payments
  • Review of processes and procedures within the Operational Manual to consider of how ICT can be used to increase performance and efficiency across the operations
  • Manage the staff rota liaising with internal departments
  • Administration support to sister company LS Vending as required - such as checking of invoices/contracts
Key competencies of a Admin/office Coordinator
  • IT hardware knowledge would be a useful asset
  • Excellent knowledge of Microsoft Office Suite of products: Word, Excel, PowerPoint, SharePoint, Teams, Outlook
  • Logical and practical thinking
  • Active listening and questioning skills, combined with the ability to interact confidently with users to establish the problem and explain solution(s)
  • Ability to plan and prioritise workload
  • Establish good working relationships with all internal users and service providers
  • High level of tact and discretion
  • Strong communication and negotiation skills
  • Sound attention to detail
  • Must be highly numerate
  • Test and evaluate new technology
