Job Description

GM Police have fantastic opportunities available for Senior Clerical Officers to work with them on a full time, temporary basis.Contract: Initially until31/03/2023Location:Sedgley Park Road, Prestwich,M25 0JTHours: 36.25 per week. 08:00-16:00 Mon-FriPurpose of the role:To provide an efficient administration and clerical service to the Occupational Health & Welfare Unit carrying out Occupational Health and Welfare processes for practitioners, clients and visitors.Duties:

  • To manage and maintain the Units appointment system including notification of clients and managers prior to appointment, preparation of clinic lists and distribution of management reports following consultation.
  • Administer the Occupational Health Mailbox and deal with queries raised from it.
  • Deal with incoming telephone calls in a sympathetic and helpful manner, providing an understanding of the Units processes and advising callers in sickness processes and procedures and prioritising actions to be taken and updating of any records as a result.Bringing to the attention of the Practice Manager any cases that may need further advice or escalating to the Unit Manager/FMO.
  • Provide a word processing and audio service to support the Units practitioners and officers. Opening and distribution of the Units daily post.
  • Assist with compilation of monthly time lined management data to provide a record of the Units activities to allow prioritisation of work processes. Deal and administer time managed SMP processes that have to meet deadlines and include working with outsideagencies and consultants.
  • Liaise with HR/GMPA about appointments, appeals, pay extensions or other relevant cases. Facilitate the completion of files relating to ongoing cases chasing external professional providers, thus providing a complete case to the relevant bodies and meetingthe deadlines that have been agreed by the Force medical officer.
  • Use the Purchase Ordering system and process invoices for all specialist medical services or supplies from external providers and agencies under Financial Standing Instructions in a timely manner.
  • Maintain an adequate level of equipment and supplies to ensure a high standard of efficiency of the service and to provide cover for colleagues in the Unit when required.
  • To carry out such other duties which are consistent with the nature, responsibilities and grading of the post.

  • Experience of dealing with clients in a professional yet compassionate way by phone and in person.
  • Experience of working with computerised administrative systems.
  • Ability to prioritise own workload and achieve deadlines in a busy office environment.
