Job Description

Role summary The person fulfilling this role will be expected to provide comprehensive assistance and administrative support to the Company Secretarial Supervisor, including assistance with the maintenance of the practice management database and other support functions.In the fullness of time and with appropriate training, to advise and work with fellow team members on many aspects of Company Secretarial work including the drafting of minutes and resolutions, company and group restructuring and to liaise with other organisationssuch as Companies House. Key responsibilities General

  • Conform at all times with compliance, complaints and data security policies / procedures.
  • Maintain positive working relationship with others, both internally and externally.
  • Follow direction well, work cooperatively and effectively with others to set goals and resolve problems.
  • Attend training and to develop relevant knowledge and skills.
  • Maintain a high level of confidentiality and discretion at all times.
Specific
  • To answer telephone calls and email enquiries in a timely manner.
  • Update and use the database to record work in progress at all times.
  • Update and maintain client records and registers as required.
  • Under supervision and following templates & procedure notes produce minutes, forms and associated documents to ensure client compliance with Companies Act 2006.
  • Collate and submit/send completed documents to Companies House and HMRC on behalf of clients.
  • Various routine administration.
Person specification
  • Must be a competent user of IT software with particular emphasis on Microsoft Office.
  • Must be methodical and accurate with an enquiring mind being prepared to question data integrity and verify accuracy.
  • Excellent telephone manner.
  • Ability to work in a challenging and busy environment.
  • Ability to use own initiative and/or problem solve.
  • Experience of using any database management systems would be advantageous.
  • Knowledge of Company Law and/or Company Secretarial procedures would be advantageous.
