Job Description

Our client who is based within the Public Sector, have a temporary role for a Senior Administrator. Based in Glasgow City Centre, attracting a pay rate of £12.87 per hour. The hours per week are 35 hours Monday - Friday 9am - 5pm, this role will be forapprox. 3 months.Duties

  • Work with the Directors EA to provide effective administrative support to the Major Projects Team. This includes complex diary management working across multiple diaries simultaneously, organising travel (both national and international) for multiple Teammembers, pro-active co-ordination of VIP visits and events in consultation with senior Team members and forward planning for meetings for multiple Team members.
  • Interaction with senior staff within the campus and external high profile contacts and their offices such as Government Ministers, CEOs from industry and Heads of other institutions with respect to offering advice and building good relationships in orderto negotiate diary/meeting time etc.
  • Organise and support the delivery of meetings, conferences, events and VIP visits. Working closely with senior Team leaders to understand their needs and ensure meetings run smoothly and are an effective use of their time. This will include minute taking,collating and distribution of documents, pro-active follow-up of actions/progress tracking.
  • Manage confidential and highly sensitive material with responsibility for ensuring that enquiries are dealt with appropriately, efficiently and/or discussed with the appropriate staff prior to action. This includes drafting correspondence, filtering, reviewingand taking appropriate actions from email inboxes and correspondence using initiative and good judgement.
Person Specification
  • Relevant experience in a similar role, preferably in a higher education or dynamic industry environment
  • High level of IT skills including Microsoft office applications, outlook, PowerPoint and excel. Must be able to produce high quality PowerPoint slides
  • Excellent written and communication skills
  • High level of experience in organization and delivery of meetings, conferences, and events
  • High level of experience in organizing complex travel (both national and international)
