Job Description

Job Title: Reactive and Small Works AdministratorLocation: GlasgowSalary: £21,430.71 per annumHours: 37.5 hours a week - Monday to Friday (between 9 am until 5 pm)Our client, one of the UKs leaders in providing innovative construction and engineering solutions for clients within a variety of sectors including Retail, Health, Education and Commercial, now has an immediate need to employ a Small Works Administrator,due to a new contract win.In this position, the successful candidate will work closely with the Small Works Manager & Quantity Surveyor managing the FM Contracts and ultimately report to the FM Contracts Manager dealing with all administrative duties within the contract.Principle Accountabilities:

  • Raising, monitoring and recording of all purchase and hire orders and investigation of invoice queries where required.
  • Ensure all relevant paperwork is collated together with appropriate authorisations & uploaded onto Verisae system.
  • Chasing outstanding jobs/parts.
  • Compiling various reports.
  • Liaison with field engineers and preparation of extra to contract quotes, uploading these on Verisae and raising purchase orders on Coms.
  • Supply reports to management when required.
  • Comply with any other reasonable request or instruction from the FM Management Team.
  • Submission of weekly operational report to FM Contracts Manager.
  • Assist Small Works Manager & Quantity Survey in preparation of Quotes/Estimates, Health & Safety Plans, Drawings, Procurement & Liaison with contractors.
  • Liaising with our clients on planned works, queries & adhoc requests for the contract.
  • Collate, distribute, upload & file health and safety plans.
  • Review contractor RAMs, challenge where required & upload to systems.
  • Planning of Small Works with in house engineers as well as external contractors.
Key Experience Required:
  • Proven experience as an office administrator, office assistant or relevant role. Previous experience of working on a facilities management contract would be beneficial
  • Outstanding communication and interpersonal abilities
  • Excellent organisational skills
  • Excellent knowledge of MS Office and office management software
  • High attention to detail and work with a high degree of accuracy
