Job Description

Our client, a highly respected Public Sector establishment, based in Glasgow City centre, require a Procurement Support Officer on a temporary basis for an initial 3 month period. The salary for the position is £10.43/hour, working Monday to Thursday 8.30am to 5.00pm and Friday 8.30am to 4.30pm. This role will be remote working until the end of the year.A minimum Basic Disclosure Scotland certificate issued within the last 12 months is a requirement of the role.Main purpose of role:To provide an efficient and comprehensive administration support to the department.Accountabilities/Responsibilities:

  • Track Tenders received
  • Organise Tender Boards
  • Record details of new contracts and update the contracts register
  • Issue reminders for Contract Award Notices to Project Managers
  • Provide assistance and advice to colleagues on publishing contracts
  • Undertake routine data cleansing of CoDa records
  • Accurately record and maintain records of documents held in secure room, library and archive
  • Maintenance and retrieval of branch files
  • Destruction of Confidential documents
  • Assist in monitoring the Procurement, Tender, Procurement Support and Governance Mailboxes
  • Check for Procurement Queries
  • Monthly update of branch trackers
  • Assist the Governance Manager with routine governance tasks for Project Delivery and Procurement Branch. Task to include:
    1. update of Project Execution Plans (PEP)
    2. maintenance of PEP Tracker
    3. co-ordinate and attend quarterly PEP reviews
    4. update of Lessons Learned registers
    5. update of Procurement Compliance Checks.
  • Arrangement of meetings including distributing agendas and relevant papers to both internal and external attendees and booking travel
  • Checking Invoices
  • Key Skills and Requirements:
  • Relevant administration experience gained within a Procurement department
  • Fully experienced in using Microsoft Office
  • Excellent communication skills, both oral and written
  • Excellent organisational skills
  • Experienced with working with confidential information
  • Able to work flexibly and effectively under pressure to meet fluctuating deadlines
  • Able to work as part of a team and on own initiative
