Job Description

Recruiting a Operations Assistant for a 9 month contract, based on Glasgow (City Centre) for a logistics business.Client DetailsLogistics business in Glasgow City CentreDescription

  • Assist with board materials (presentations, minutes etc).
  • Assist with reporting.
  • Provide administration for project work.
  • Provide support for board/conference calls.
  • Provide support for careers fairs.
  • Assist/prepare for customer visits.
  • Monitor new or revised legislation.
  • Communicate legislation updates to the operations team.
  • Maintain and update the legislation register.
  • Provide support to Directors and teams as required.
  • Provide absence cover for executive assistant.
  • Member of the public affairs team. On-call as first point of contact for incidents 24/7 every 6 weeks.
  • Assist with minutes of weekly operations meeting(s).
  • Superuser for employee expenses. Introduce new staff members and provide understanding of expectations for expense management.
  • Management team administrator and meeting facilitator.
  • Member of the Social Committee initiative.
  • Organise and maintain the SharePoint site.
  • Create labels and customs paperwork for all corporate shipments.
  • Send, monitor, and complete confirmation form for the weekly emails.
  • Prepare and do the Welcome interviews for the Magazine every quarter.
  • Order all Business Cards.
  • Maintain and update the Responsibility Matrix on the Sharepoint.
  • Office catering when required for Ops team and procurement team. Processing subsequent invoices.
  • Administrator for the Employee Suggestion Program
  • Provide reception cover every Monday and ad-hoc when required; facilities management, sign-in procedure, phone enquiries etc.
  • Administrator for the Knowledge Share Program.
  • Member of the office based Social Committee.
  • Help coordinate and organise the office Christmas Lunch and annual Dinner Dance.
Profile
  • Results, and solutions driven approach required.
  • Experience in a similar role.
  • Strong interpersonal, verbal, and written communication skills coupled with the ability to build successful relationships with internal and external stakeholders.
  • Intermediate skills with all basic Microsoft applications (Word, Excel, Outlook).
  • Excellent administration and strong organisational skills.
  • Attention to detail and high level of accuracy in all aspects of work output.
  • Ability to handle data with confidentiality.
Job Offer
  • 9 month contract
  • First 3 months fully office based then 2 days in the office/ 3 days from home
  • 9am until 5pm, reasonably flexible on this
