Job Description

Job Title: Office Services ManagerLocation: GlasgowThe TeamPMA (Property Management Accounts) is the growing property & fund accounting team, based in Glasgow. PMA support the Surveying Teams & Facilities Managers in the UK by administering approximately £3 Billion p/a of rents and service charge.Role PurposeThe Office Services Manager role within Property Management Accounts (PMA) requires the management of office and facility services for the team based in the Glasgow accounts office, including the direct management of the office services support team.Key Responsibilities

  • Ensure office meets external and internal regulatory requirements covering, but not restricted to, Health & Safety, Business Continuity Planning, ISO14001 Environmental Champion
  • Act as the first point of contact with the Landlord and the Managing Agent of the office premises to ensure that all issues are addressed timeously
  • Maintain central records for the department, including organisation charts, headcount analysis, recruitment, holidays, absenteeism recording and study support. Where applicable records to be reported to PMA management team and People team
  • Ensure that all budgets relating to the Office are controlled and maintained, including coding and submission of all invoices and/or credit notes for Glasgow expenditure
  • Manage travel and meeting room bookings for department
  • Responsible for all aspects of staff management within your team, including but not limited to recruitment, induction, setting objectives, appraisals, team meetings, training, compliance, performance management and staffing levels
  • To work on specific projects as and when required to support the wider Glasgow team

  • Good interpersonal skills and ability to quickly form professional relationships with colleagues and clients at all levels of seniority
  • Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met

  • Ideally experience of running an office or working as a senior administrator in a multi-disciplinary office
  • Good IT skills (Word, Excel, MS Outlook). RSA Word processing/typing/or equivalent would be advantageous
  • Good communication skills, both verbally and in writing
