Job Description

Coats Pensions Office is seeking an office administrator to join our team for a 12 month temporary contract. The role is based in our central Glasgow office, with some flexibilty to work from home.The successful applicant will join Coats in-house DB pension team to support general administration services within the Pensions Office.1. Administration Support

  • Assist with member queries
  • Process Mail and email as required
  • Run and distribute weekly and monthly system reports
  • Provide support to team members
2. Deliver an excellent customer service
  • Deal with calls in a courteous and helpful manner
  • Anticipate requirements of members and visitors to the office
  • Ensure minimal interruptions to office
  • Identify potential issues, benefits, improvements and ensure they are communicated effectively
3. Ensure office supplies and environment are maintained to an agreed level
  • Liaise with external contractors recommending where change would be beneficial
  • Monitor and order supplies as required
  • Maintain cleaning standards by monitoring and liaising with cleaners
  • Schedule and track general maintenance services
4. Provide general assistance as and when required
  • Provide a general administration service
  • Provide catering and organisation for external and internal meetings
  • Contribute to various projects and liaise with project team to ensure tasks completed within deadlines
5. Budget tracker and provide support to maintain costs
  • Checking and accurate coding of e-invoices
  • Budget tracker - responsible for monitoring and reporting potential overspends.
  • Negotiate costs with suppliers and recommend where changes would be beneficial
  • Review credit card statement and budget activity reports with supporting documents
