Job Description

Office ManagerCompany: DF Concerts & EventsLocation: St Vincent Street, GlasgowReporting to: Business Support ManagerWorking hours: Full-time, including onsite work at our festival TRNSMT. Permanent contract.RoleThis role is at the very heart of DF Concerts and is crucial to the smooth running and efficiency of our 2 offices located within Glasgow, to team members working from home and to our Concert Team working in venues across the country and our Venue Teambased in King Tuts Wah Wah Hut. DF Concerts bring the best live music and life affirming experiences to music fans across Scotland, year after year. Throughout their 1,000 concerts per year, DF Concerts work with some of the biggest names in music as well as champions the career progressionof newly established acts. Having previously organised Scotlands largest music festival, T in the Park, from 1994 to 2016, the company added the inaugural TRNSMT Festival to the line-up in 2017. DF Concerts is also responsible for the 35k capacity GlasgowSummer Sessions and the 6K capacity Edinburgh Summer Sessions, held against the backdrop of Edinburgh Castle. Additionally, the company owns and operates, "quite possibly the finest small venue in the world", King Tuts Wah Wah Hut - supporting the vibrantmusic scene from grassroots level, up.Responsibilities

  • Central point of contact for everyone within the organisation, maintaining an excellent knowledge of the business and its key aims, whilst assisting the team with any queries or issues regarding office management
  • Reception and Switchboard Duties, support to visitors- phone system co-ordination, conference management
  • Maintain office policies, create how to guides and manage Health and Safety Procedures
  • Point of contact for suppliers and ensuring sustainable office supplies and resources are sourced and restocked
  • Carry out office IT and Communication tasks, troubleshoot and signpost staff to available services whilst re-enforcing procedures and best practise
  • Provide Facilities Management; responsible for the security, maintenance, and service of work facilities to meet the needs of the organisation and its employees, liaising with the property manager and building factor as required
  • Research, cost and implement more sustainable solutions within the workplace
  • Ensure the companies responsibilities with regards to GDPR are being implemented across the company
  • Provide HR assistance with office induction and onboarding of new hires
  • Plan an annual programme of, engaging, inclusive and collaborative staff events and office well-being activities
RequirementsSkills / Knowledge / Experience
  • Proven experience as an Office Manager, Front Office Manager or Senior Administrative Support Staff (This role offers the opportunity for an individual to progress their skills from a smaller office environment)
  • Confident, assertive, and adaptive communication skills with a professional and friendly telephone manner
  • Great people skills and ability to form effective relationships, internally and externally, across all levels of business
  • Strong organisational and planning skills with good attention to structure, detail, and accuracy suited for a fast-paced environment
  • Proficient in Advanced Microsoft Packages (Word, Excel, Outlook, and PowerPoint), a current working knowledge of A/V and smart technology and how to maximise for efficiency would be a strong advantage
  • Demonstrable knowledge of Office Management, systems, and procedures with hands on experience of laptops - hardware and software, photocopiers and printers, phone systems
  • Previous experience in organising office layouts, managing and maintaining office facilities/repairs and overseeing contractors and providers of service is required
  • Proven commercial Awareness a strong advantage
  • IOSH Managing Safely qualification a strong advantage
