Medical Secretary12 weeks - temp extension or permGlasgow£10.50The role of the Audio Typist is to provide a comprehensive administrative service to the clinical teams in terms of document production to ensure a professional and high quality standard of Management Advice Report to clients.Key Accountabilities· Deliver audio typing service to the clinicians. Transcribe dictated text into Management Advice Report templates in line with business needs.· Format and quality check all Management Advice Letters - paying particular attention to grammar, spelling and content, including clarity of medical terminology if appropriate.· Prioritise workflow effectively in line with business needs ensuring work is dealt with efficiently and output is forwarded to the key stakeholders in line with business processes.· Maintaining medical confidentiality in line with Data Protection Act (DPA)· Pro-active approach to process review and re-design if appropriate to ensure client service delivery is paramount· Focus on communication and building relationships with key internal contacts/stakeholders· Support the OHP Co-ordinator as required in line with business needs - flexible approachMeasures· Report dispatched within Service Level Agreements (SLA) timeframes & meeting predefined Quality standards for client templates.· Quality Auditing of Management Advice Letters (MAL)· All reports processed and dispatched to agreed Key Performance Indicators (KPIs) as set by the Customer Service Team Managers through quality checking process and audit· Fully comply with all Data Protection requirements· Evidence of review and appropriate escalation of concerns/issues· 360 degree feedback provided by key stakeholders and ad-hoc feedback· Evidence of support given and positive outcomes as appropriateDimensions Impacted By Job· No budget or people management responsibilities· Team size circa 60 - within operations· Significant exposure to risk including;· Client retention - risk for inadequate service performance· Risk of SLA failures for overdue activities· Risk of DPA breach for non-complianceSkills And Experience· Excellent written & verbal communication skills· Excellent organisational skills· Accurate and efficient typing skills· Experience of medical terminology lit· Proficient in key Microsoft package, specifically word, excel & outlook· Demonstrable ability to work under pressure and within stretching deadlines· Pragmatic approach to problem solving· Soft skills;· Team player with the ability to self-start· Flexible and enthusiastic approach to work· Critical attention to detailKey Interfaces Internal/External· Customer Service Team Leader· Occupational Health Physicians (OHP)· Occupational Health Advisers (OHA)· Occupational Health Co-ordinators (OHCs)· All other internal key stakeholders· No external interfacesThe Operating Environment And Context Of The JobThis role is critical in the delivery of a high quality, well presented advice letter. The role is essentially the final qualitative check prior to dispatch of the Management Advice Letter.
