Job Description

Our client, based in the East End of Glasgow, have an urgent requirement for a temporary Clerical Assistant based within the mailroom. The hourly rate will be £12.47 . The role will be 35 hours per week, Monday to Friday, 9 - 5.JOB PURPOSETo work as part of a team carrying out a range of Mail Room duties and clerical functions within the Glasgow Mail Room.ACCOUNTABILITIES AND MAIN RESPONSIBILITIES

  • Sort and distribute internal despatches and faxes to Divisions/Departments in a timely manner, including the use of Electronic Document Records Management Software and appropriate correspondence tracking software.
  • Providing customer service at a public counter, issuing mail, responding to general enquiries and offering appropriate advice both in person and via telephone/email.
  • Carry out mail room duties in respect of external mail items. Operation of various postal equipment e.g. franking machine, letter opener, letter folder, scales and x-ray unit.
  • Sort, distribute and where required open, record and forward incoming mail.
  • Contribute to the accurate secure recording, distribution and tracking of cash/valuables and charitable donations
  • Carry out a range of administrative functions including checking of stock levels and preparing of stationery requisitions for authorisation by appropriate signatory, photocopying, invoice processing and associated record keeping.
Key skills
  • Excellent communication and interpersonal skills; ensures customers receive best service possible.
  • Ability to organise own workload multi task and prioritise work to meet deadlines.
  • IT literate with experience of Microsoft Office Word and Excel software.
