Job Description

Position: Lift and Escalator Administrator (1 year fixed term contract)Salary: £20,400 per annumLocation: GlasgowHours: 37.5 hours per week Monday to Friday (9 am until 5 pm)We are advertising this Lift and Escalator Administrator role on behalf of our client City Facilities Management. The business has ambitious growth plans and is keen to attract people who are passionate about delivering great standards and service to customers.In return you will receive a competitive salary and benefits package, industry leading Induction and training through our City & Guilds training academy and the opportunity to develop and progress is only limited by your own ambition.Job Purpose:The L&E Administrator will work closely with the L&E Operations Administrator, the L&E subcontractors, the Insurance Administrators, the Lift Manager and Service Desk on all matters related to the L&E subcontractors. Focus will be given to preparing/issuingLift Off reports and supporting the L&E Operations Administrator and Insurance Inspection Administrator in all tasks related to L&E.Key Accountabilities:

  • Support both Lift & Escalator (L&E) Operations Administrator and Insurance Inspection Administrator in daily/weekly/ad hoc task management
  • Chase subcontractors for updates on insurance and lift-off queries
  • Chase subcontractors for job ETAs and update City CAFM (Mercury) if required.
  • Collation of Lift -Off Report on a daily basis
  • Chasing up tasks that the Lift Manager, Area Managers or Service Desk request and providing more information when required.
  • Informing Lift Manager or Area Managers when they are required to act on tasks, such as approve quotes or if their assistance is needed to chase up a job.
  • Chase up all overdue and Invitation to Quote tasks that are currently open on the system with the L&E subcontractors.
  • Ensure Mercury system is kept up to date with latest status of jobs
  • Attend weekly operations meetings with the L&E subcontractors in L&E Operations Senior Administrators absence
  • Attend other ad hoc meetings as required to support L&E Manager and wider team
Knowledge, Skills and Abilities
  • Proven track record in delivering subcontractor administration in a FM environment
  • Previous experience of Lift & Escalators preferred
  • Educated to GCSE / Standard Grade level
  • Ability to extract, collate and present data relevant to the business
  • Ability to manage conflicting priorities and interests, reconciling, achieving co-operation and building relationships.
  • Ability to work to deadlines without chasing or constant supervision
  • Effective communication skills both written and verbal
  • Confident liaising with subcontractor through telephone, face to face or email
  • Good working knowledge of the Mercury CAFM including subcontractor portal, asset & PPM and job management
  • Willingness to work flexible hours
  • PC literate - excellent skills in excel required
