Job Description

Insurance Inspection AdministratorSalary: £20,400Hours: 37.5 per week - Typically Monday - FridayJob PurposeThe Insurance Inspection Administrator will liaise with the M&S contracted Insurance Inspector Suppliers inspectors (Currently RPS). You will be required to work closely with RPS to manage the defects process on the Mercury system (City CAFM) and will workclosely with the Lifts & Escalators ("L&E") Administrator and subcontractors to ensure that immediate and timed defects are closed by the due date. You will review the required evidence and sign-off immediate and time qualified defects for subsequent close-offin the Inspectors System (currently BHI). You will build close working relationships with the subcontractors and will raise jobs on the Mercury system.Main Responsibilities

  • Daily management of the defects group email box
  • Generate and update Immediate and Timed Qualified Defect ("TQD") tracker
  • To raise all defects on the Mercury system
  • Log and send immediate defects to subcontractors and ensure acceptance
  • Log and send all timed and standard defects to subcontractors and ensure complete within stated time period
  • Once timed defects are complete by subcontractor, acquire completion paperwork, namely Subcontractor Service Visit Sheet and photographic evidence of defect completion.
  • Any discrepancies in paperwork to be sent back to subcontractors for clarification and completion and escalations to go to L&E Manager for review
  • Completion to be signed off on tracker for immediate and timed defects
  • Collate completed paperwork from subcontractor and, in conjunction with L&E Administrator, sign off as complete in BHI (RPS system)
  • Deal with all queries around Immediate and TQDs
  • Ensure all immediate and TQDs are completed within time stated and issued to subcontractor after RPS issue to City FM
  • Log any witness tests to be completed by RPS following a defect completed by subcontractor
  • Log any visits or site attendance with regards to insurance defects
  • Work closely with RPS to keep on top of any Immediate and QTQDs expiring ensuring all units are complaint
Knowledge, Skills and Abilities
  • Educated to GCSE / Standard Grade level
  • Familiarity with the Customers Contract
  • Knowledge of Insurance Inspection and Lifts & Escalators
  • Ability to extract, collate and present performance data relevant to the business
  • Effective communication skills both written and verbal
  • Ability to work under pressure
  • Confident liaising with subcontractors
  • Experience in developing strong working relationships with colleagues
  • Willingness to work flexible hours
  • PC literate
  • Experience of Mercury CAFM is an advantage
Previous experience of delivering presentations to management preferred
