Job Description

Our client who is based within a highly regarded public sector organization, have a temporary role for an Events Assistant. This role is until 31st July, the running dates are between 11th June and 11th July. Pay rate £11.52 per hour.Will be required to work shifts and in event dates will be required to work weekends within the shifts and could involve longer days. To start with the role will be 9-5 but will change to shifts nearer event dates. Initially the role will be working from home and then will be city centre based nearer the event dates.The Events Assistant role will work in one of the following three Domains within the Host City Project Team - Experience & Engagement; Safety & Security or Workforce & Accreditation. The Host City Project Team is responsible for the management of Glasgows legal and operational obligations for delivering UEFA EURO 2020 in Glasgow.Duties:

  • Support the Domain Lead across a range of work areas in the planning and delivery of UEFA EURO 2020. Support the Domain Lead in the creation of key event documentation, maintaining and updating throughout the duration of the project in a timely manner.
  • Ensure that all appropriate administrative processes and procedures are established and implemented during event delivery.
  • Coordinate and facilitate the relevant schedule of meetings, aligned with event partners and stakeholders.
  • Prepare, collate and issue relevant documentation, reports, agendas and produce minutes or action lists as required.
  • Manage and coordinate project reporting procedures and tournament wide processes including Progress Reports and Change Controls.
  • Engage with suppliers in the upkeep of supplier documentation.
  • Liaise with colleagues from Glasgow Life; the wider Glasgow City Council family; external partners and stakeholders as required to arrange meetings, site visits and any other event related activity.
  • Assist with providing information and content, collating and entering large amounts of sensitive data, and answering enquiries from client groups and adhering to GDPR at all times.
  • Process invoices and other financial documents as required.
  • Provide excellent customer service to all client groups and stakeholders, providing a high standard of communication and customer service.
  • Support the operational delivery of the volunteer programme (including training events, uniform and accreditation distribution and event delivery).
  • Key Skills:
  • Experience of processing and monitoring budgets and related financial activity.
  • Ability to communicate across agencies, government and hierarchies at all levels.
  • Excellent verbal and written communication skills.
  • Proven experience in customer service.
  • Ability to use software packages such as Microsoft Word, Project, Outlook, Powerpoint and Excel.
  • Accuracy and attention to detail.
  • Desirable:
  • Employment experience in cultural and/or sporting events.
  • Knowledge of the operational and delivery elements of events.
  • Experience of working with volunteers in an event setting
