Job Description

Company: DF Concerts and EventsDepartment: Event Management and ProductionLocation: Glasgow, UKReports to: Head of Events & ProductionWorking Hours: Monday to Friday 10am to 6pm with extra evening and weekend workingthroughout the event season as required. Work at events requiredCompensation: A competitive salary and attractive benefits package including unlimited annual leave, employee discounts and free concerts/festival entryApplication Process: Please submit your CV along with a cover letter to be considered for this position.Role DescriptionThe Event Assistant is a key role within the event planning team at DF Concerts, providing vitalorganisational planning and support to the Head of Event Management and event project team across all outdoor events and stadium shows. They are the main point of contact within the team and deliver strong and reliable communications with internal and externalevent stakeholders, contractors, and agencies.Who you areYou have an interest in concerts & festivals with previous experience using Outlook for high level diary management, working across multiple projects and tasks concurrently and you may have hadexposure to operating in an outdoor event environment. You may have previously worked as aPersonal Assistant, Senior Project Assistant or Senior Event Administrator where event planning ororganisation was part of your role.Competencies / Skills / Knowledge / Experience

What the role involvesPre-event:
  • Assist in the coordination of outdoor events including venue hire and availability calendar; liaison with venue management; internal on sale coordination; coordinate legal sign off for event terms and conditions
  • Manage and advance accommodation requirements for outdoor events including contract negotiations and payments terms
  • Assist the Head of Events in all aspects of day-to-day diary and email management. Arrange meetings, prep notes and undertake any actions as required.
  • Organise event planning meetings and internal team meetings as required, prepare agendas, attend and take minutes and note actions to circulate post meeting to relevant parties
  • Assist the Project Team and Finance with the event engagement of temp event staff including contractual requirements, payroll and queries
  • Process DF/Live Nation IT equipment and any support services as required for onsite temp/contracted staff including laptop provision, radio comms and photocopiers
  • Oversee charitable requests received. Manage internal communications, escalation and sign off and liaison with organisations as required
Event Period:
  • Coordinate a staff briefing schedule and communicate with internal and external stakeholders
  • Manage and record the DF event stock items as appropriate and organise delivery and maintenance of storage containers and infrastructure required for each event
  • Represent the promoter within the control centre operation, assisting the JACC Manager and Event Manager at outdoor events and Stadium concerts. Organise meetings, collate stats and end of night report as required.
  • Assist with coordination and minuting of any onsite management team meetings when required
  • Collate and administer any industry or special guest invitations for attendance at the event, ensuring compliance of Live Nation policies around anti-corruption
  • Support the Project team with poste event debrief survey collation and meetings as required
