Job Description

An exciting opportunity has arisen within our Facilities and H&S team and a new role has been created for an Assistant Facilities Manager. The role is office based within Search Consultancys head office in central Glasgow, reporting directly to the Propertyand Health & Safety Manager. The role requires a valid UK driving licence and occasional travel between multiple office locations throughout the UK.As Assistant Facilities Manager you will fulfil a vital role within the business providing support and assistance in the following areas:

  • Reactive and Planned Maintenance
  • Health & Safety within the Search office locations
  • Property Management
  • Capital projects including office alterations, refurbishment & fit out works
The successful candidate will have previous experience in a similar role within a sizeable organisation with multiple locations, with involvement in property and H&S, office management including general maintenance & repairs.Reporting to the Property and Health & Safety Manager, the Assistant Facilities Manager should have
  • Experience with assisting or managing daily matters within a similar type of office/multi location organisation
  • Relevant experience assisting or managing daily matters alongside a Facilities Manager, with or without involvement within H&S
  • Ability to take instruction, and to work on various tasks under their own direction
  • Desire to take forward elements of the FM workload, in due course, as your skills/knowledge in the role develop
  • Ability to analyse information, and seek instruction from the FM where appropriate
  • Able to communicate & problem solve effectively with colleagues at all levels
  • Working knowledge of Word, Excel, Outlook, PowerPoint
Advantageous but not necessary
  • Working knowledge of building fabric, M&E installations and H&S matters relevant to an office environment
  • Working knowledge of AutoCAD, or similar drawing package
  • Involvement in the implementation of the companys health and safety policies and processes within the workplace
General Requirements of the role
  • Act as the initial point of contact for site based cleaning matters and liaise with cleaning contractors to address non-contractual issues
  • Assist in the review of completed works during cyclic inspection of the offices
  • Reviewing and processing of related invoices
  • Work with the FM in the development of processes for managing planned and reactive maintenance tasks
  • Assist in the management of planned and reactive tasks, including managing a low volume of daily maintenance issues from the initial call/email
  • Liaise with contractors on arranging planned maintenance visits including fire equipment, alarms, electrical testing, etc.
Health & Safety
  • Assist the FM in the development and implementation of the existing H&S processes and procedures with the office locations
  • Support the FM in the cyclical inspection of the offices, and completion of site based H&S documentation
Property Management
  • Under the direction of the FM, assist in the management of the property portfolio
  • Assist the FM in the cyclic inspection of the offices, to identify any items of disrepair, required works or issues requiring attention
Capital projects
  • Assist the FM on alteration and refurbishment works
  • Act as point of contact during FM holiday leave
