Job Description

Our client in the public sector requires a Corporate Programmes Assistant on a temporary basis until 31st March 2022. The post holder will be based in Glasgow City Centre however may be required to attend other locations from time to time. Hours of workare Monday - Friday, 37 hours per week, 08:30-17:00 Mon-Thur, 08:30-16:30 Friday with an hour for lunch. This is an administrative role that attracts a pay rate of £10.80 per hours.Main Duties

  • Respond to enquiries from the public, local authority staff and transport operators in relation to the operational delivery of concessionary travel schemes and smart ticketing activities.
  • Provide wide ranging general and admin support to the Corporate Programmes Team and the wider Unit. This includes managing the inbox and calendar of Head of Department.
  • Take responsibility for travel and hospitality requests in accordance with company guidelines.
  • Be responsible for compiling and distributing the weekly update of the Unit correspondence tracker.
  • Collate the monthly unit wide performance and management information data.
  • Actively support comprehensive staff induction process for the Unit, and managing requests for hardware and software to ensure business continuity.
  • Be the Units key point of contact for meeting requests, room bookings, visitor requests and refreshment requests.
  • Take notes of any meetings and action points, as required.
  • Be responsible for issuing staff with passes ensuring that these are logged accordingly. Responsible for checking invoices before approving for payment.
  • Assist with ensuring compliance with good practice in relation to Equalities.
  • Provide support and resilience to other team members, as required.
  • Take on any other relevant duties commensurate with your role within the Unit.
Essential Criteria
  • Excellent verbal and written communication skills, with ability to produce written work that is accurate, relevant, clear and concise.
  • Experience working effectively as part of a team and confidence engaging with a range of internal and external stakeholders at all levels.
  • Good administration and organisational skills with the ability to prioritise workloads to achieve targets and experience using a variety of IT systems, including MS Office.
