Job Description

Our client, a highly respected Higher Education establishment based in the West End of Glasgow, requires an Accommodation Assistant on a temporary basis for 2 to 3 months. The salary for the position is £9.98 per hour, working 35 hours per week Mondayto Friday.Main purpose of role:To provide professional reception and administrative support to the hall management staff and undertake duties of a clerical nature as directed by management staff.Main Duties and Responsibilities:

  • First point of contact for enquiries made in person, by telephone or via email from students, members of staff, external clients and suppliers
  • Meeting and greeting customers which could involve showing prospective residents around facilities
  • Undertake general secretarial and office duties including preparation of documents and emailing residents. Update various information reports/logs within our office and maintain administration and filing systems
  • At regular times inspect flats, rooms and communal areas to ensure agreed performance standards are adhered to, including undertaking utility meter readings. Monitor and report maintenance issues to internal and external service providers as necessary andensure these are carried out to completion keeping customers fully appraised of progress
  • Carry out health & safety related duties eg fire alarm testing, fire equipment checks and ensuring testing is carried out regularly and attend monthly health and safety meetings
  • Responsibility for ensuring that tenants are informed of any scheduled visits or issues related to their accommodation
  • Production of rooming lists and other information from allocations computer package
  • To compile and produce evaluation report from termly questionnaires and distribute
Key Skills and Requirements:
  • Standard Grades (English and Arithmetic) or equivalent
  • Knowledge of Microsoft Office packages
  • Excellent interpersonal skills
  • Tact, diplomacy and discretion
  • Good communication and writing skills
  • Excellent organisational skills
  • Ability to work with minimal supervision
  • Previous experience of working in customer service environment
  • Experience of working in a busy office environment
