Job Description

I am currently recruiting for a School Administrator for a SEN School based in Medway.Role Duties:1. Act as the first point of contact for the school; welcoming staff, students, parents and visitors to the site.2. Respond to telephone and email enquiries in a prompt, professional and courteous manner, ensuring all messages are passed to the relevant staff member/ student.3. Open and close the school’s front gate ensuring the security of the site at all times, checking visitors in and outand issuing visitor ID badges.4. Communicate with parents via telephone, email and the school’s text messaging service, acting as a liaison between teachers and parents when appropriate and arranging meetings/ appointments when asked to do so.5. Assist in the planning and preparation of school events, for example Careers Days/ Academic Review Day/ Exams Day/ Awards Evening, by providing administrative support.6. Maintain and update student records electronically (using SIMS) and by filing hardcopy paperwork in student files.7. Manage all mail by preparing letters/ parcels for postage using the school’s franking machine when appropriate and take mail to the local post office daily. Receive and sort all packages, deliveries and mail, ensuring packages are delivered to the relevant staff member by the Caretaker.8. Provide administrative support using Word, Excel and Outlook, including the administration of the school’s daily detention list and exclusions when they occur.9. Input of standing information to Finance system (suppliers, debtors) in accordance with school/ LA procedures.10. Process Purchase Orders from requisitions accurately and in accordance with agreed authorisation and timescales.11. Check deliveries and Goods Received Notes/ Packing Notes for any discrepancies and investigate, forward any issues to the School Business Manager.12.Investigate and resolve supplier invoices under query arranging returns if required and ensuring that refunds/ credit notes/ replacement goods are received if necessary.13. Be responsible for stocks of school uniform ensuring that a stock take is completed each term and send to the School Business Manager. Adequate uniform stock must be maintained.14. Be responsible for shared school stationery ensuring a stock take is completed each month and send to the School Business Manager. This includes stocks of paper and ink for all printers/ copiers within the school. Adequate stock must be maintained.15. Maintain all records for a small group of students that are duel-rolled as part of the Year 11 Placement SchemeExperience and Skills required:The ability to multi-task and problem-solveThe ability to meet deadlinesThe ability to work and thrive in a busy and sometimes pressurised environmentThe ability to handle private/ sensitive information confidentiallyExcellent communication skills with a diverse range of peopleProficient in the use of office I.T. programmes such as Office 365Proficient in the use of school-specific IT software programmes - SIMS/ PSF/ CPOMSHigh standard of educationEvidence of excellent literacy & numeracy skillsExperience of working in a school environmentExperience of working without direct, daily supervision and ability to develop own skillsExperience of maintaining robust administrative and financial systemsExperience of liaising with various stakeholders internal to an organisation and external partiesPermanent positionDBS required
