Job Description

We are currently looking for a Commercial Administrator to join our professional services team based in our Fleet, Hampshire office. The role will come with a competitive salary and benefits package including 25 days holiday plus bank holidays, pension, private medical, life assurance and more.We are looking for someone who is available full time however part time options may be considered for the right candidate.RoleThe Professional Services Commercial Administrator is a member of the Project Management Office and is responsible for ensuring that all of the elements required to support a funded customer engagement are in place, including contracts, timesheets and billing. At TrustQuay we utilise a combination of SharePoint, DocuSign and NetSuite to manage this end-to-end process. Our Professional Services team is global, with staff spread across offices in UK, Jersey, Guernsey, Luxembourg, Cyprus, Singapore and Sydney.Primary Responsibilities:

  • Set-up, maintain and close down projects within NetSuite so that time entered by the Professional Services, Development and Customer Services teams can be correctly captured and billed
  • Ensuring that time entry by staff and timesheet approvals by Managers and Project Managers are completed in a timely manner and with a high degree of quality and consistency.
  • Working with the Finance team to lead the month end process from the Professional Services perspective, with an expectation that all data is ready and available to commence the process on the first working day of each month.
  • Acting as the expert with regards to various NetSuite modules used to support the process (including timesheets, projects and resource allocation tools) and conducting training for staff on NetSuite and the agreed TrustQuay processes and standards
  • Assisting the Project Managers in handling customer queries on billing and working with the Finance team to help resolve debt collection issues as required.
  • Assisting Project Managers with the production of monthly project status reports for customers including delivering the commercial status of the project (budget, spend, burn-rate, etc) in a format ready to go to the customer (graphs, charts, etc)
  • Producing Professional Services and other Senior Management KPI reports (utilisation, capacity, etc)
  • Assisting the Sales, Account Management and Legal teams with the preparation and issuance of Statements of Work and the associated sign-off process with appropriate approvals via SharePoint and customer sign-off via DocuSign
  • Providing administration assistance to the Professional Services Management team
  • Experience and Qualifications RequiredThere are two potential profiles of candidates we would be interested in speaking to:
  • Candidates with experience of working in a Professional Services organisation (accountancy, law, consultancy, etc) or similar where they were responsible for a critical process such as the one described above and/or
  • Candidates interested in joining a Financial Services Technology company with ambition to grow with us into another, related role such Project Management, Consulting or Account Management
