Job Description

RECRUITMENTiQ is working in partnership with a family-owned group of three franchises based at two sites in Falkirk.We are looking to appoint an experienced Vehicle Sales Administrator. You will be dealing with some of the worlds most well-known car manufacturers, Toyota, Mazda, and Hyundai.The RoleWorking in our busy sales administration department, youll be responsible for making sure our vehicle stock records are accurate and up to date. You will also make sure that vehicle sales are invoiced and taxed effectively to guarantee a smooth customerexperience.You will serve as a point of contact for customers with queries about products, orders, and deliveries and provide support for sales executives.Key Responsibilities

  • Complete and process all vehicle orders accurately as directed by the Sales Manager, in line with sales orders, demonstrators or showroom stock requirements
  • Monitor vehicle availability and transit to the dealership
  • Collate and record all new vehicle delivery information, creating files for new vehicles into stock and stock record book; create stock cards for new vehicles
  • Complete new car sales orders and PDI instructions, ensuring distribution of appropriate documentation to relevant departments
  • Allocate registration marks
  • Process first registration info of new vehicles.
  • Complete all taxing for new and used cars, retentions, and cherish transfers online
  • Claim manufacturers bonuses, campaign, or sales bonuses, if appropriate
  • Provide administrative support to the sales team as required and keep them informed of customer order status
  • Setting up warranties for approved and non-approved cars
  • Management control on auditing
  • Ordering, updating new vehicles
  • Assisting with any other tasks required to support the group
Skills and Experience
  • Previous experience as a sales administrator within the motor industry
  • Excellent communication and organisational skills
  • Can communicate in a confidential, professional, and appropriate manner
  • Ability to prioritise own workload
  • Committed to providing high-quality work
  • Good team player
  • PC literatethe experience of Microsoft Office
  • Ability to work in a fast-paced environment
