Job Description

Previous P.A. experience is not essential but applicants must have exceptional organisational and General Administration skills and be prepared to undertake P.A. duties.Minute Taking will form part of the duties but again, not essential to have had previous experience in this. Together: Were a force for good - focusing on our environmental and social impact Were experts by nature - always learning and developing to do things better We live and breathe it - putting our purpose at the heart of decision-making Were better together - understanding partnerships and inclusive make us greater We keep evolving - pushing boundaries to make tomorrow better for our customers Find out more about our values -The Met Offices cutting-edge capabilities assist the UK and the international community in meeting the twin challenges of forecasting the weather and understanding and planning for a changing climate.We deliver a wide range of services and expert advice to both public and private sector organisations.We are currently looking for two self-motivated, flexible, team orientated individuals for Personal Assistant roles that will support the Associate Directors in Science, and Associate Directors in our Programmes Directorate.You will be working within either the Office of Science & Technology or the Programmes Central Support Team, where you will ensure that appropriate processes, governance, and assurances are in place; ensure effective management of information; and champion,and be an expert for, new tools and processes to help improve administrative working practices. As our PA to Associate Directors, the key duties are: To plan and prioritise the busy schedules of the Science and Programmes Associate Directors, liaising with a wide range of staff and other stakeholders, both internally and externally, to prioritise competing demands and optimise use of their time. To manage incoming email, organising and maintaining diaries, making appointments, and arranging travel and accommodation. To act as a point of contact for key customers and internal and external stakeholders, dealing promptly and professionally with all enquiries and correspondence. To organise Senior Leadership team meetings and team briefings, ensuring that all supporting documents and facilities required are available, taking notes and actions where required. Work closely with the other members of the Science and Programmes Directorates to ensure a consistent, joined up approach to managing activities. To undertake any other administrative tasks on behalf of the Senior Leadership teams.Essential Criteria: 1. An expert by nature, with significant previous experience in a PA or similar role supporting one or more senior executives in the public or private sector.2. Excellent diary management skills and proficient in the use of Microsoft Office 365 suite of services.3. Excellent time management and organisational skills with the ability to adapt and prioritise in a dynamic working environment.4. Ability to work proactively with minimum supervision, under pressure and to tight deadlines.5. Ability to operate with tact, diplomacy and discretion, while remaining calm under pressure.6. Evidence of good team working skills, with an ability to work together to achieve strategic goalsDesirable: We encourage you to apply if you believe you meet our essential criteria, but your application will be even stronger if you have:1.
