Job Description

(Link Asset Services is a member of Link Group.)The Facilities Administrator will ensure that the Facilities team supports the Fund Solutions, Corporate Markets and wider Divisional departments located in Beaufort House, Exeter by providing support according to SLA’s.Key Accountabilities and Main Responsibilities

  • Responsible for meeting and greeting visitors, the issuing of relevant passes and maintaining visitor logs
  • Issue and maintain records of all Exeter access control passes and audit quarterly.
  • Responsible for answering switchboard and directing calls as necessary.
  • Responsible for the management of all contractual /reactive maintenance and cleaning ensuring that all required documentation is generated, approved and filed appropriately in the site log book.
  • Responsible for the supervision of the daytime cleaning staff and supervision of contractors
  • To ensure regular liaison with building management in regards to building related activities likely to impact Link floors.
  • Responsible for the daily checks of all meeting rooms to ensure all a/v equipment is ready for use.
  • To ensure that all keys to cupboards, pedestals and lockers are managed correctly and spares are available when required.
  • Responsible for the sorting, logging and distribution of incoming and outgoing mail including Registered, Special Delivery mail and couriers, dealing with enquiries where necessary.
  • To ensure that stationery and printer stocks are monitored and re-ordered as required.
  • To ensure regular stock checks of printed stationery/IT consumables are completed and re-ordered as required.
  • To ensure regular stocks of tea, coffee and other staff welfare requirements are completed and re-ordered as required.
  • Responsible for bookings of meeting rooms and occasional buffet requests.
  • Accompany visitors onsite where necessary, including engineer visits.
  • Responsible for the daily log of Fire Marshals/First Aiders whereabouts.
  • Management of meetings rooms - Responsible for refreshments and buffets for client meeting rooms as and when required, and that refreshments are maintained.
  • Complete Health and Safety tasks including updates of the SHE portal, including monthly inspections and DSE risk assessments as required.
  • Manages archiving process - recording of contents of new boxes sent for archiving and retrieval and return of existing boxes as and when required.

  • Ability to manage time, prioritise and plan work
  • Must be able to adapt to rapidly changing situations
  • Knowledge of MS Office Package – Word, Excel, PowerPoint etc.
