Job Description

Team HR Administrator - Edinburgh - Perm - Salary CompetitiveChange Recruitments client, an established and award-winning brand within its sector, are currently looking to recruit a Team HR Administrator to join their Edinburgh team.This is a fantastic opportunity for a talented Administrator to join a leading outsourcing organisation, providing support to the existing HR Shared Solutions Team..This position is offered on a Permanent basis with a competitive salary,The RoleWorking within a HR Service Centre environment, this role is responsible for providing a high quality service to our clients and supporting the Team Leader.Our Clients Service Centre delivers a high volume of HR transactional services and administers HR enquiry help lines and email inboxes.Working as a senior member of the Campus & Onboarding team, you will have daily interaction with the client, its employees, students, candidates and external vendors.Responsibilities are varied but focus on providing customer service and administration support within agreed timescales and service level agreements.Key Duties and Responsibilities include:

  • Supporting the Team Leader with the daily team operations, allocations of workload and ad hoc requests received from the client
  • Helping to embed and champion all activity within the team, troubleshooting issues and problems and communicating to the Team Leader and the client as appropriate
  • Supporting the Team Leader by managing any temporary staff working on Campus activities
  • Supporting the Team Leader to co-ordinate initial induction training, identify training gaps within the current team and produce relevant training plans
  • Actively participate in delivering training and coaching solutions
  • Identifying any potential issues and problems and escalating to the Team Leader as they arise
  • Co-ordinate process for reviewing and updating Administration Guides and Checklists, ensuring version control and archiving procedures are adhered to
  • Supporting the delivery of a HR Administration service which includes:
  • Managing & responding to mailbox queries and requests from students and the client
  • Campus recruitment administration tasks; event tracking and compilation of CV books, offer letter returns, online testing queries, general query management and candidate travel and expenses.
  • Accurately updating Taleo and WCN as requested by client
  • Managing Onboarding activities including managing cases from offer extension to start date.
  • This will include processing New Hires via Taleo, WCN and Workday, maintaining Employee Induction, Probation and other related onboarding process trackers and databases.
  • Conducting Pre Screening Due Diligence Interviews, following strict guidelines and ensuring completion within SLA
  • Supporting other teams within the department as required in a variety of data management and transactional activity
Actively participate in regular client conference callsEssential Experience / Skills
  • Previous experience completing similar HR Administrative tasks and Case Management
  • Proven track record of providing quality customer service in a similar environment
  • Demonstrated ability with computer skills including intermediate knowledge of Word, Excel and Outlook and Adobe Acrobat
  • Strong organisational skills with the ability to prioritise own workload and assist other team members to achieve collective goals
  • Demonstrated experience responding to high volumes of queries, ensuring quality output
  • Ability to communicate effectively with clear and concise language verbally and with written correspondence
Ideal Skills & experience
  • Previous experience of Graduate Recruitment Administration.
  • Previous experience using Taleo/WCN/Workday
  • Previous exposure to an HR Service Centre environment
You must be able to pass a Disclosure Scotland & Credit Check to be considered for these roles.The hours of work will be Monday to Friday; 37.5 hrs per week from 7.30 am to 6.pm, a rota is in operation to cover these times.
