Job Description

Pertemps are recruiting for an Administrator to work on an assignment at our well known Public Sector client based in Edinburgh.£12.64Starting ASAP for 12Weeks possible extension35 Hours per weekWorking from homeMain Duties:

  • Maintain a detailed record of all financial transactions for use in budget monitoring and Programme planning. Reconcile all non-salary financial transactions for the Programme to ensure budgets are not exceeded. Raise and monitor purchase orders and internal transfers using on-line Finance system. Assist Business Finance Manager on monitoring of internal charges for Programme project related and support services.
  • Provide general administrative support to the Programme Leadership Team, including some diary and email management. In addition specific Board support as required, including scheduling agenda planning collating/distributing papers and tracking Board meetings in a plan.
  • Maintain the Programme resources plan. It also requires overall housekeeping of the Programme time recording system, opening and closing project codes and ensuring timely submission of weekly records from all Programme staff.
  • Assist the PMO Programme Manager in a variety of administrative tasks, include estate/space planning, computer equipment purchasing and set up
  • Assist the Programme Communications manager in maintaining Programme web and wiki pages.
  • Collate data and prepare reports as part of the production of Programme management information, using standard software (e.g. Excel) and Programme-specific data sources (e.g. ASTA) to assist the senior management team in resource and financial planning discussions and decision-making.
  • Update and maintain Programme staff records, record and monitor annual leave, sickness absence and staff development for all staff. This includes maintaining accurate records of all joiners and leavers on the programme. Assist the PMO Programme Manager in Programme recruitment using online HR systems.
