Reed Business Support are supporting one of the UK’s most famous and highly respected Higher Education institutions as they look to recruit a Programme Administrator to join them on an initial 12- month Fixed Term Contract.Role- Programme AdministratorSalary- £26,000-£30,000Location- Edinburgh (hybrid working option)Within this role you will contribute to the effective provision of the departments Programme’s administration function and support of change, communications and teams’ activities.Within the role you will monitor, identify and develop programme and project processes and procedures to enhance best practice and facilitate decision-making.Duties include-• Provide general administrative support• Providing communications and supporting team members, including diary and email management, as well as specific committee/board/meeting as required.• Support the Programme Coordinator and Manager collating/distributing papers for Board/relevant other meetings, liaising with the Programme Lead & Chair and drafting an accurate minutes/action notes of such meetings. Meetings can have University wide impactwith planning and scheduling up to 1 year in advance. (Approx 30% of time)• Assist the Programme Coordinator/team in a variety of administrative tasks, including ordering catering, arranging meetings/workshops and maintaining programme/project web and SharePoint pages. (Approx 40% of time)• Assist the Programme Manager/Coordinator to maintain the action logs from Implementation Groups and Engagement workshops. Ensure owners are assigned to actions and they are completed timeously. As a minimum all action logs are updated in advance of the nextcycle of meetings and shared with meeting members. (Approx 10% of time)• Collate data and prepare reports as part of the production of programme information, using standard Microsoft Office software to assist the Programme Manager in planning discussions and decision making. (Approx 20% of time)Key contacts / Relationships-• Programme Coordinator, Programme Manager, Programme Lead and members of the Growing Research Together Programme team• Workstream Leads/ Project Managers in support of the scheduling and actions.• Workstream Leads/ Project Managers in the provision of information.• Members of the Programme team responsible for relevant Change, Communications and workshop related actions.• Administrators across the University.Experience required from applicants-• Significant experience of producing basic action lists, minutes• Taking meeting notes• Significant experience of committee/board servicing and detailed minute taking• Significant track-record of providing excellent administration support• Ability to manage own workload.• Ability to support events.• Practical experience of using Microsoft Office 365, including SharePointSound like the role for youApply online today!
