Job Description

Role- Office Manager - EdinburghAbout out client: Reed are working with an innovative business solutions organisation that are on the hunt for an Office Manager to join their Edinburgh office. Our client has a fantastic name within the marketplace and are at the forefront of their industry.The office in Edinburgh is opening after a relocation so it’s a very exciting time for the business and a great time to join.Position: Office Manager/EALocation: Edinburgh OfficeSalary: £25,000-£30,000To be considered for this role, candidates must have come from an EA or Office Manager type role within a professional environment. Candidates must be experienced in supporting multiple senior stakeholders and should have strong written communications skills.Some of the main duties involved in this role are listed below-Key Responsibilities:1. Client Communication:• Act as a primary point of contact for clients.• Proactively chase up all clients for information required to complete R&D reports, recognizing the direct correlation between timely report submissions and company cashflow.2. Document Management: Oversee the management and updates of foundational company documents such as the business plan, employee handbook, and company policies.• Operational Procedures: Ensure the creation, organization, and accessibility of Standard Operating Procedures (SOPs) that detail the workflow of various departments.• Legal and Compliance: Manage all contractual documents, including client contracts, supplier agreements, and partnership deeds. Ensure theyre up-to-date with current regulations and compliant with legal standards.• Financial Records: Collaborate with the finance team to maintain essential financial documents such as profit and loss statements, balance sheets, tax returns, and expense reports.• HR Documentation: Oversee the storage and accessibility of employee contracts, job specifications, performance reviews, and training materials.• Project Management: Ensure the organization and easy accessibility of project proposals, scopes of work, timelines, and project review documents.• Communication Protocols: Ensure there are clear guidelines and templates for internal and external communications, including email templates, presentation formats, and report structures.• Marketing and Sales: Collaborate with the sales and marketing teams to organize and manage client pitches, marketing collateral, and sales playbooks.• Bolster all documents, ensuring an organized and efficient system for storage and retrieval, so every team member can access the information they need effortlessly.3.Reporting and Administration:• Prepare and present reports on various aspects of the office, ensuring Andrew and Liam are kept informed of all pertinent developments.• Handle general office administrative duties to ensure efficient day-to-day operations.4. Marketing Assistance (Desirable, but not essential):• Assist the marketing team in implementing strategies and campaigns, ensuring brand consistency and effectiveness.• Coordinate with external vendors or agencies, if required.Qualifications:• Proven experience in office management or a similar role.• Exceptional communication and interpersonal skills.• Ability to prioritize tasks and manage multiple projects simultaneously.The selected individual will find vast avenues for progression, with no ceiling to their growth potential within the company.Sound like the role for you
