Job Description

Office CoordinatorBased in Edinburgh£27,000 - £29,000 per annumReed Business Support are pleased to be working with a leading non-profit in Edinburgh who are looking to recruit an Office Coordinator on a fixed-term basis until March 2023 to cover maternity. This will be a very varied role and perfect for candidateswho have strong admin experience, preferably in an Office Coordination or Management capacity. The organisation is ideally located near the centre of Edinburgh and offer a welcoming environment for all employees.

  • 35 hours per week
  • Hybrid working
  • Start date in early July
Key responsibilities:
  • Providing a friendly front of house service for employees and visitors
  • Answering incoming calls from customers, external bodies, and contractors
  • Managing the admin mailbox
  • Setting up and organising meetings when required
  • Booking travel and accommodation for all staff, including helping with events organisation
  • Maintaining stationary and office supplies stock
  • Managing budgets and procurement for business services, including waste management, water coolers, cleaning, etc.
  • Managing office facilities ensuring that repairs, maintenance, cleaning, recycling and mailroom are maintained
  • Supporting with health and safety procedures
  • Supporting with any improvements to the office layout and associated expenditure
  • Managing policy frameworks and updating systems with required changes
  • Supporting the business improvement team with ongoing projects
  • Providing data for monthly KPI reports
  • Working with the Governance Team to diarise meetings, take minutes, and update website
Person specifications:
  • Previous experience in an Office Coordination, Office Management, or Senior Administration
  • Excellent communication skills
  • Ability to organise busy workload
  • Experience organising and attending meetings
  • Good IT Skills - particularly MS Office
Desirable:
  • Contract management experience
