Job Description

Job role: HR Administrator Team LeaderLocation: Edinburgh (Hybrid)Job Type: Full-time, permanentHours: 35.25 Hours per weekShift Pattern: Monday to Friday 9am to 5pmMenzies Distribution is looking for a HR Administration Team Leader to supervise a team of administrators providing all HR transactional and administrative support to the business. This role will help oversee an efficient and effective service and supportthe team in delivering a customer focused service, that meets SLAs, and works on continuous improvement to ensure the aims of the business are achieved.This is a fantastic time to join our team and grow your HR career, as we continue to enhance the function, invest in new technology (i.e., new HRIS system & Payroll System) and support our business growth objectives. WHAT YOU WILL DO

  • Assisting the HR Services Manager to continuously develop the team
  • Overseeing a customer focused administrative/transactional function that meets SLAs and KPIs.
  • Championing the work of the team to ensure efficiency and quality in the delivery.
  • Maintain accuracy of all HR systems data, ensuring all employee changes are made in a timely and accurate manner
  • Respond to and action all HR transactional queries within agreed SLA timelines, escalating to relevant HR colleagues and line managers where appropriate
  • Prepare HR transactional correspondence and letters to agreed standards
  • Prepare and distribute on-boarding materials for new starters and conduct references
  • In conjunction with the recruitment team, line managers and HR business partners, prepare contracts of employment in line with agreed terms and standards
  • Administer benefits, long service and recognition schemes,
  • Work collaboratively with payroll team and support the HR Business Partners
  • Adhere to appropriate regulations, policies and procedures
  • Deal with enquiries from internal and external customers in a timely manner, personally resolving matters or ensuring an appropriate handover
  • Provide support to the HR management team
  • High level understanding of HR issues, process, and procedure together with knowledge of statutory requirements
  • In depth knowledge of transactional processes (preferably gained in a HR environment) to enable interpretation for policy and guidance to customers
  • Knowledge and understanding of HR Administration.
  • Understanding of Data Protection legislation, its implications, and the need to comply
  • Ability to foster positive working relationships and deal with sensitive issues with discretion, empathy, and respect.
  • Prior track record of providing excellent customer service
  • Skilled user of the Microsoft Office suite including Word, Excel, Outlook and SharePoint.
  • Proven interpersonal and communication skills, which can be demonstrated when interfacing with all levels within the business
  • Proven capacity of managing workload in a high-paced environment
  • High levels of initiative and get up and go to manage own workflow to meet objectives
  • A capacity for persistence and resilience and patience in a fast-paced environment
  • Desire to learn and drive for continuous improvement
  • Excellent interpersonal and communication skills
  • Good working knowledge of HR Software, preferably Midland HR iTrent software
