Job Description

RECRUITMENTiQ is working in partnership with a private clinic based in Edinburgh that is looking for a Finance Assistant to join theteam, working 20 hours per week.The RoleTo support theClinics day-to-day operational finance functions by delivering accurate and timely recording of financial information to the clinics finance systems and liaising with staff, suppliers, patients, insurers and consultants regarding financialmatters.Key AccountabilitiesOverall

  • To create a positive, supportive and collaborative working environment;
  • To always act in a professional manner and maintain sound effective working relationships with all service users, clinic staff;
  • To continually seek ways to improve efficiencies in the direct remit of the role and in the wider clinic;
  • To actively contribute to the future success of the clinic, in particular, to your department by identifying new opportunities; by recommending, developing or improving services;
Accounts Payable
  • Sort and match Invoice and Delivery Notes;
  • Prepare weekly BACs payment run, faster payments and direct debits in line with business requirements;
  • Arrange cheques for non-APAS suppliers, and arrange Supplier setups with Head Office.
Billing
  • Process daily Tecsis forms, update pricing on APAS and ensure accuracy of all charge sheets;
  • Undertake and complete outpatient billing as required;
  • Log and post all cheques received onto log sheet, through the post and Daily Cash sheets;
  • Post all credit card and cash payments from Daily Cash sheets, received daily from reception;
  • Management of Petty Cash, monthly Petty Cash reconciliation and posting of month-end journals;
  • Action any HUB queries;
General
  • Provide assistance/cover for Billing/Accounts Payable reporting such as;
  • Radiology and Physio;
  • Consultant, Anaesthetist, Room Rent;
  • Check and action finance email mailbox and departmental voicemail messages;
  • Sort finance posts;
  • Collect paperwork from finance dropbox and allocate as required;
  • Answering telephone payments/queries, filing, photocopying and scanning as required;
  • Arrange Bank runs with Facilities for Petty Cash;
  • Provide cover for the Billing and Finance Administrator;
  • Maintaining Training log;
  • Assist with the collation of Audit requests/info;
  • Any ad hoc duties as required by the Finance Manager;
Qualifications, Skills and ExperienceEssential
  • Experience working in a finance department
  • Excellent communication skills, both written and verbal
  • Must be strong numerically and have excellent attention to detail and accuracy;
  • Knowledge of computerised accounting packages;
  • Have excellent working knowledge of Microsoft Office software
  • Being discrete, trustworthy and reliable;
  • Ability to multitask and prioritise work to meet deadlines
  • Ability to take initiative and ownership of tasks;
  • Ability to work as part of a team or on an individual basis.
  • Previous experience within a similar role
  • Ability to process billing through Purchase ledger

  • Experience in using Microsoft Excel and Word
