Job Description

Our client is looking for a Document Management Assistant for their office in Edinburgh city centreClient DetailsA leader in their fieldDescriptionWe have an opportunity for a full-time permanent Document Management Assistant to join our Office Services Team in our Edinburgh office. The full-time hours are Monday to Friday, 9am to 5pm, 33.75 hours per week and the role is office based.ResponsibilitiesThe Senior Document Management Assistant will provide administrative assistance to Partners and Fee-earners across the Firm.Core duties will be as follows:

  • Searching for documents in iManage;
  • Moving documents into new matters;
  • Saving JPEGs and Oyez to PDF;
  • Registration in RoS (including VR);
  • Registration of PoA;
  • Storage of Deeds;
  • Organising Destruction of Deeds;
  • Recall of Storage/Mandates;
  • File closures including balance checks on Aderant;
  • Completion of Client Profile Forms;
  • Completion of Expense Claim Forms;
  • Collating meeting papers; and
  • Dealing with outgoing hard copy mail.
Additional administration tasks maybe allocated as appropriate.ProfileYou should be flexible, self-motivated, highly competent, and able to work on your own initiative. Previous administrative experience is essential. A high level of discretion and confidentiality is needed for this role as you will be exposed to highly sensitiveinformation.A high degree of accuracy and attention to detail is essential.
