Job Description

The Faculty of Advocates ensures that the people of Scotland, regardless of wealth, background or location, have access to the very best independent, objective legal advice. The Faculty has been at the forefront of legal excellence since 1532 and regulatesthe training and professional practice, conduct and discipline of advocates.As well as ensuring excellence in the specialist field of courtcraft, the Faculty is constantly evolving and is at the forefront of innovations in alternative dispute resolution methods such as arbitration and mediation.Members of the Faculty have access to the countrys finest legal resource - the Advocates Library and the Faculty provides a collegiate atmosphere which allows advocates to exchange views in a way that gives them a unique insight into the law and helpsensure that they are always at the leading edge of analysis.This role within the Facilities team is one that can see you working across 5 different areas within the Faculty of Advocates. It will see you covering reception duties, arranging meeting, setting up and assisting with running events and providing assistanceto members of Faculty.Its a busy and fast paced role, but exciting for the right candidate who is keen to pursue a career in Administration!Interested Apply Today!Key Responsibilities:Event Responsibilities:

  • To provide support to the Faculty Superintendent & T&E Dept when organising events, to include;-
  • Preparing guest lists
  • Sending out invitations by email/post, using Eventbrite programme
  • Collating responses
  • Carrying out stock
  • Setting up rooms for events
  • Using PA Equipment and testing prior to event
  • Liasing with Faculty Superintendent/T&E Dept to set event up on the day
  • Any other duties reasonably assigned and supervised
Reception Support:
  • Identify all Members of Faculty including Senators of the High Court, and Sheriffs
  • To report all building repair faults
  • To perform reception duties on a daily basis including answering telephones; email and paging Members and to handle appropriately; enquiries from Members; Solicitors/Agents; Clients; Clerks and all other staff.
  • To ensure that rooms are appropriately allocated, to take account of conference needs; requirements for disabled clients; and accommodate individual Advocates preferences, where possible.
  • To set up rooms for specific purposes and ensure that video/audio conference facilities are working and may demonstrate how to work the equipment.
  • To issue stationery, Falls, shirts, collars and accessories and charge individual Advocates accounts.
Members Support:
  • To assist members of Faculty to dress into professional court garments and to prepare and pack members court garments when working outside Edinburgh.
  • To gather items from Members for laundering, log by recording in a notebook and prepare for collection.
  • To maintain a high standard and prosessional service to all members
  • To ensure confidentiality is upheld at all times
  • To carry out any other task, across all Faculty buildings, as reasonably assigned by the Faculty Superintendent or Deputy.
Required Skills:
  • Excellent communication skills & attention to detail
  • Positive customer centric outlook
  • Familiarity with Microsoft packages and basic computer literacy is desirable
  • Willingness to learn
Additional Information:
  • Salary - £ 12,431 per annum
  • Future Salary - This will be discussed at the end of the fixed term contract
  • Hours will be between 8am-6pm, Monday to Friday (35 hour week). Overtime will be paid if required to work evenings or weekends.
