Job Description

Personal Assistant Location: PlymouthJob Type: TemporaryDuration of booking: Expected to last 6-8 weeks and maybe longerProposed start date: ASAPSector: HealthcareBase: Healthcare basedBand: 4 or 5 depending on skill and experiencePay Rates: Band 4 £11.00 - £12.00 paye per hour£12.00 - £13.00 paye inclusive of holiday pay per hour£13.00 - £14.00 umbrella per hourBand 5 £12.00-£15.00 paye per hour£13.00-£16.00 paye inclusive of holiday pay per hour£14.00-£17.00 umbrella per hourAll of the rates are depending on skill and experienceWorking Days and Hours: Monday to Friday, 9am to 5pm 37.5 hoursRemote working option: Not an optionJob Purpose Provision of a high level, efficient, comprehensive and confidential secretarial service and administrative support to a Senior ManagerThis role requires a highly experienced Personal Assistant with the skills and qualifications to meet the needs of the role.Duties

  • To co-ordinate arrangements for meetings ensuring all reports are received, both before and after the meeting in a timely manner and all necessary administrative processes undertaken.
  • To undertake administrative and secretarial work as required.
  • Providing cover and support, working as a team, within the admin secretariat and to provide specific cover for the admin department as appropriate.
  • To deal efficiently with all correspondence, monitoring telephone enquiries and providing information as appropriate.
  • To maintain an accurate appointments schedule and manage the time of the and Senior Managers
  • To type and compose letters, memoranda and other documentation as required.
  • To source and provide information as required to ensure all reports are accurate and completed to deadline to ensure the achieving of targets is evidenced.
  • To convene and attend regular meetings as required, producing agendas and accurate minutes, making all necessary arrangements, including the collation of papers and agenda items.
  • To maintain an efficient filing system including brought forward items to ensure that deadlines for responses are met.
  • To ensure medical records both paper and electronic are filed in line with IG procedures, and that the Medical Records Department is supported with regard to the management of referrals, admissions and discharges.
  • To liaise and deal with all external agencies, service users and carers.
  • To ensure patient referrals are processed, to timely input, update and maintain information and resolve queries on the patient database.
  • To prepare and provide support for allocation meetings or pathway panels.
  • Responsible for ensuring that the necessary preparation for ward rounds is actioned and any follow ups are actioned afterwards.
  • Attend ward rounds and CPAs along with any other meeting requested by the consultant, team or manager.
  • Responsible for keeping the Electronic Single Healthcare Record for their teams patients in order.
  • Undertake office duties, including filing, faxing, photocopying, dealing with incoming/outgoing mail. Dealing with all telephone calls and associated duties in an efficient and timely manner
  • To undertake any other duties that would be a reasonable expectation of the role
