Job Description

Role: Purchasing AssistantLocation: Derby, DerbyshireContract type: TemporaryLocation: HybridOur well-established and award-winning client, based in Derby, is looking for a temporary Purchasing Assistant to join their Purchasing Services team, initially for a period of 2-3 months, however with the possibility of permanent appointment for the right person.In this Purchasing Assistant role, the successful candidate will process and manage the lifecycle from requisition to purchase orders via Oracle. Working within the Purchasing Services team, the successful candidate will demonstrate highlevels of customer service to both internal and external stakeholders, answering queries that may arise relating to best purchasing practices and procedural elements.Purchasing Assistant, principal accountabilities:

  • Work as a key member of the team demonstrating high level of customer service to internal and external stakeholders, answering queries that may arise relating to best purchasing practices and procedural elements of the Procurement Policy.
  • Manage the requisition to order process for goods and services using Oracle, including, where appropriate, making purchases via the credit card systems. This includes understanding the of Framework Agreements, where to buy from, how to buy and what termsand conditions to use.
  • Create Purchase Orders from internal requisitions and manage the Purchase Order lifecycle.
  • Ensure that catalogues and Purchase agreements are used where available and that all purchases are coded with accuracy, along with ensuring Tender References are stated where applicable.
  • Effectively manage your buyer dashboard in Oracle to ensure orders are completed and closed in a timely manner and to support prompt payment of invoices.
  • An ability to spot repeat purchases and identify trends / frequent purchases and escalate to the Procurement team to ensure compliance to Procurement Regulations.
  • Support and inform end users to fully embrace and adopt the best practice operating model via Oracle and facilitate areas of the Supplier Registration Lifecycle. This requires communication and interaction skills and a positive attitude to support thesystem.
  • Ensure all work undertaken is recorded and processed in accordance with financial procedures, regulations and Purchasing Policy, including maintenance of archive materials, in a timely manner.
  • Participate in working groups and training as required to develop knowledge and service levels to improve the end user experience.
  • Undertake any other duties as required and appropriate to the post in line with current and future business needs.
Essential Criteria
  • GCSE Maths and English at Grade C or above or equivalent qualification.
  • Experience of using IT and web-based systems.
  • Ability to produce accurate written communication that is well structured.
  • Evidence of problem solving skills.
  • Can use initiative in ensuring correct process and policies are followed by self and others.
  • Able to provide a high level of customer service to a wide range of internal and external customers and colleagues with confidence.
  • Has an eye for detail and produces consistent high quality work.
  • Manages time effectively ensuring deadlines set are consistently met.
  • Communicates well with team members to ensure efficient completion of work within required timescales.
  • Approaches work with a positive "can-do" attitude
  • Has a methodical approach to work.
Desirable Criteria
  • Customer Care / Business Administration / Purchasing qualifications.
  • Experience of working in a Purchasin/ Procurement environment.
  • Understanding of Procurement / Purchasing processes and regulations.
