Job Description

Our client, a leading property organisation who own a collection of Hostels and have a contract with the Home Office, are recruiting for an Administrator. Based in Derby, you will provide a responsive and efficient administrative service in support of the accommodation operations of the region.The role is full-time, working Monday - Friday 8.30am -5.30pm (40 hours per week).Duties to include:

  • Manage the Database Information System and liaise with Head Office and external agencies as required
  • Maintenance of the building, ensuring all maintenance requests are logged and tracked on the database and passed to the Deputy Manager or in their absence the Hostel Manager
  • Allocations procedure including ensuring that the allocations procedure is adhered to, ensuring that close liaison with the hostel managers is undertaken
  • Secretarial Service including maintaining accurate records of all word processing for easy retrieval and undertake systematic housekeeping on a regular basis, maintaining database/mailing list of key contacts and update on a regular basis
  • Internal and External Customer Service including ensuring callers are dealt with promptly, take accurate messages using internal proformas when necessary and convey to appropriate staff in a timely manner, ensuring all queries relating to social welfareissues are passed to a manager, providing a professional and responsive reception service for personal callers to the office
Requirements:
  • 2 years administrative/secretarial work
  • Proficient in the use of MS Office, including: - Word, Excel, E-mail
  • Experience of inputting and maintaining databases
  • Experience of collating and producing statistical information
  • Experience of working in an organised manner and to tight deadlines
  • Experience of effective communication at all levels to include producing clear and concise information
  • Proficient in the development and maintenance of office systems
  • Ability to work on own initiative and as well as part of a team
  • Experience of working methodically and under pressure
