Job Description

We are currently seeking an enthusiastic, experienced, and proactive Support Assistant to work collaboratively with our Sales, Projects and Support teams, in our friendly customer service driven office in Dartford.Job Title: Sales Support Assistant / Sales Assistant / Projects AssistantWorking Hours: 37.5 hours per weekReporting to: Sales & Projects DirectorSalary: £24,000 - £25,000 per annum + Benefits (listed below)Our Company We are a physical security solution provider, offering protection for organisations and businesses for over 30 years. We are the UK’s leading designer, manufacturer, and installer of bespoke physical security products, operating in a niche market and a key supplier to blue chip customers in the Banking Industry, Petrol Retailers, Police Forces, the Post Office and several Public Sector clients including Local Authorities, Several Police Forces and the NHS.What we are looking for! The ideal candidate should have previous office experience that includes regular telephone contact and the regular use of Microsoft Office suite. In addition, excellent customer service skills and interpersonal skills, coupled with strong analytical and problem solving abilities are key, as there will be regular and ongoing contact with both external and internal customers. Additionally, you will need to be highly organised, adaptable, and able to prioritise tasks from multiple sources, while working independently. The ability to communicate clearly and accurately both verbally and in writing is also a must have skill for this position.You will be responsible for:Functions

  • The receipt and recording of all incoming customer enquiries.
  • Monitoring and maintenance of the EFACS (our internal bespoke CRM database)
  • Compilation and distribution of correspondence related to both sales & projects
  • The monitoring and timely follow up of outstanding quotations.
  • Quote and sell our specified products
  • Contract renewal administration
  • Provide general assistance to the Head of Business Development
  • Inbound Sales Calls
  • Telephone enquiries – record the details of the enquiry onto the CRM.
  • Email enquiries – Check on a daily basis our sales email inbox and record the details of the enquiry onto the CRM.
  • Direct mail – record the details of the enquiry onto the CRM.
  • With guidance from the Head of Business Development & Sales & Projects Director, allocate via email and telephone all enquiries to a specific sales person.
  • Customer information
  • Champion EFACS (internal CRM) including ownership, management, accuracy and recording and maintenance of customer information.
  • Ensure correlation and consistency of the data in various parts of the system.
  • Input and set up new customer information into Opera.
  • Produce relevant ad-hoc reports as and when required by Sales & Projects Director.
  • Provide support to other sales team members on matters related to EFACS.
  • Correspondence
  • Produce relevant cover letters for outgoing quotations.
  • Produce ad-hoc letters for Sales & Projects Director and sales team.
  • Ensure hard and soft copies of correspondence are filed for easy reference.
  • Produce general correspondence as and when required.
  • Quotation monitoring
  • Liaise with Account Managers to obtain and record expected order dates for individual quotations.
  • Open, schedule and close opportunities in line with company process
  • Follow up by telephone / email all outstanding quotations as scheduled by the associated sales team member
  • Record updates on outstanding quotations and inform the Sales team if order is significantly delayed or cancelled.
  • Quotations and Sales
  • Produce formal and verbal quotations for products specified by the Sales Director.
  • Sell products and services to a given target as specified by the Sales Director.
  • Project Support
  • Work collaboratively with the project manager and team to maximise productivity
  • Collaborate with the whole project team, contributing to the entire project lifecycle
  • Coordinate efforts within the team efficiently
  • Report updates verbally and in written form to management as and when required
  • Complete any necessary administrative tasks, such as research and email
  • General
  • Other ad hoc tasks as defined by the Sales & Projects Director and/or Managing Director
  • Skills, Education & Qualifications
  • Grade A-C in English Language/Literature
  • Excellent skills within the Microsoft Office Suite i.e. Microsoft Word Office, Excel, PowerPoint, Outlook, Teams etc.
  • Proven previous experience in a Sales/Project Support role
  • An eye for detail and accuracy
  • Excellent communication & administration skills
