Job Description

Our client, based in Croydon is currently looking to recruit an experienced and hands on Head of Administration/Office Manager who will manage the UK and International Administration function and the smooth running of the Office, of this successful, specialist long standing business.The successful candidate will oversee all Administrational Departments managing current projects, planned development and regulatory implementation within all departments. You will liaise with all external stakeholders, including customers at the time ofneed, including Directors and next of kin; as well as reselling agents, their own field teams and underwriters. Additionally, you will oversee the process of stock and literature requests, Including all stationery requirements, such as marketing material andcontrol stock inventory. You will also support the Managing Director, booking all travel, hotels, car hire, car parking and travel insurance.Further responsibilities will include:

  • Keeping database up to date with any changes and ensuring the administrative teams do same.
  • Liaise with Accounts department regarding settlements, payments.
  • Liaise with, guide and advise colleagues internally to ensure all Heads of Intermediaries Partnerships and Senior Executors are kept up to date with latest information; liaise with colleagues internally regarding any repatriation needs, production of certificates,letters etc. as and when required.
  • Liaise with clients, teams and other areas of the business via phone, letter or email to keep them fully up to date with latest information, handling queries and resolving any complaints.
  • Facility and administrative duties, such as advising stationery officer on stock control, stationery ordering, taking ownership of placing orders as and when required.
  • Management and liaise with HR for staff holidays, attendance records, performance reviews and feedback verifications reviews.
  • Manage all contracts and documentation relating to these to ensure a smooth running of the office facilities.
  • Maintain, update, create Departmental Processes and Procedures

  • Ability to manage and motive team members - Hands-on experience of running, leading and guiding a department
  • Experience of putting procedures in place in line with FCA requirements, and training staff on these procedures
  • Able to lead by example, work under pressure and run an extremely busy team within a pressurised environment
  • Strong administrative skills, analytical skills and attention to detail
  • Excellent communication and organisation skills and ability to be proactive with customer care and problem solving
  • Good IT skills, essential ability to use Microsoft, including Advanced Excel / Word / PowerPoint / Visio 6. Organised and efficient systematic worker, with a high level of gravitas
  • Health & Safety Officer requirement to meet legislation
  • Spoken Spanish and French would desirable although not essential
  • Experience in managing finance or insurance - based, administration teams preferable
