By supporting a stable of diverse MGAs, employees can not only develop an understanding of the whole re/insurance chain and operations but also be part of an innovative and growth focused company.The roleSupporting the Group Information Manager and Senior Management team in all matters relating to the smooth running of the business. Providing proactive and high-quality secretarial and administrative support alongside general office responsibilities and dataentry.Key accountabilities1. Administrative Support and Diary Management1.1. Provide full diary management to the Group Information Manager - organise internal and external meetings, ensure effective administrative arrangements are in place to enable the meeting to run well and ensure invitations and notes are distributed in goodtime, liaise with clients, colleagues, and other PAs.1.2. Coordinate schedules, meetings, and appointments.1.3. Arrange travel and book accommodation.1.4. Process the Group Information Managers monthly expenses.1.5. Organise, plan, and manage team events.1.6. Monitor team absences and prepare summary for the Group Information Manager.1.7. Provide support to and cover for the admin team (both London and Croydon) as required.2. Office Management and Reception2.1. Ensure that the office, kitchen, and work areas are always kept in an orderly manner and supplies are ordered as appropriate.2.2. Be the first point of contact for all visitors - welcome them and get them refreshments whilst they wait.2.3. Organise and manage meeting room bookings (internal and external).2.4. Manage incoming and outgoing post and deliveries.2.5. Liaise with building representatives and suppliers.2.6. Organise office moves with Facilities/IT.2.7. Process the Croydon offices monthly expenses.3. Insurance Transaction Support3.1. Contract and Slip Data Entry - process insurance contracts into data collection systems to a high level of quality and accuracy. 3.2. Cashbook management and policy allocation - reconcile insurance premiums received against booked financials. Raise and resolve queries in a timely manner.3.3. Mailbox administration - work with the rest of the Pine Walk team to monitor mailboxes and workflows.4. Report and Presentation Production4.1. Format information for internal and external communication. For example, prepare memos, letters, invoices, statements, and other documents.4.2. Assist with word processing, documentation, and database requirements.4.3. Management and production of corporate presentations (internal and external).5. General5.1. Answer and direct telephone calls.5.2. Produce timelines for and support any active projects.5.3. Act as one of the points of contact among executives, employees, clients, and other external partners.5.4. Any other duties your line manager asks you to carry out relevant to the role/time.Skills & experienceEssential Skills, Knowledge and Experience * Strong written and spoken communication skills to enable communication at all levels.* Highly organised and efficient.* Ability to handle a varied workload and competing priorities.* Proficiency in the Microsoft Office Suite, particularly Word, Excel and PowerPoint.* Willingness to work extended hours, as required.Preferred Skills, Knowledge and Experience * Previous administration experience, including diary management.Competencies and behaviours* Strong attention to detail.* Ability to support success and timely delivery in a complex, multi-disciplinary environment.* Personal drive and resilience in established and new/changing situations.* A team player with strong interest in the performance of the business as a whole.* Bright, energetic and positive with a can do attitude and a focus on getting things done.OtherDevelopment
